As an Operations Administrator you will process daily activities in line with standard FDS operating procedures. You will be an effective communicator at all levels of the organisation. You will be a proactive thinker who can lead processes and make effective business decisions. With exceptional attention to detail, you identify and escalate where appropriate any discrepancies. You will be confident in liaising with senior management and wider operational leads, ensuring processes are completed in order to meet defined deliverables.
Responsibilities:
- Providing thorough and accurate administrative support to senior management and operational leads.
- Performing basic office tasks, such as preparing meeting areas and presentation materials, answering emails and phone calls, data entry, manage and administer internal applications/systems.
- Coordinating schedules and managing calendars for multiple parties to ensure that activities are properly arranged and prevent conflicts.
- Making travel arrangements and preparing documents, presentation materials, and facilities for meetings.
- Creation and maintenance of process flows and documentation control.
- Weekly, Monthly and ad hoc reporting on a variety of different business functions.
- Work with wider teams on resource management to help cover annual leave, sickness and any other absences.
- Raise and track purchase orders as required.
- Track all spending and act as conduit for approval flows.
- Raise new hire requests.
- Support Business Analysts in implementation, tracking and completion of tasks to meet FDS business objectives.
- Manage training requirements for service delivery teams.
- Write and publish clear and concise companywide communications.
Key Skills:
- Previous experience in an operations administrator, senior administrator or in a similar position.
- Strong organisational and administrative skills.
- Excellent communication skills, both written and verbal.
- Strong Microsoft Office and data management software skills.
- Detail-oriented with strong analytical and problem-solving skills.
- Ability to multitask.
- Structured planner.
- Confident dealing with middle and senior management.
