An exciting opportunity for a hardworking, capable, experienced PA has become available with our professional client in the centre of Bristol. Based in an open plan office in a great city centre location, this role will support two individuals – a Finance Partner and an Operations Partner. Dealing with admin support on a one to one basis, this role is a newly created position and will involve some travel to London. The purpose of this role will be to help the Partners manage their time by dealing with secretarial and admin tasks. The appointed individual will be highly efficient, be able to handle confidential matters and bring an abundance of business support skills to this successful and well respected firm.
Typical duties for this role will include:
- Diary management including appointment categorisation - updating Partners’ diaries
- Scheduling meetings, booking meeting rooms/venues, sending invites
- Preparing required documentation for meetings
- Taking and typing up minutes
- Document production and management including occasional presentations, copy typing, audio typing, spreadsheet management
- Professional correspondence – ensuring all correspondence, reports, documents etc. conform to house style and are of high quality
- Domestic and international travel arrangements (trains, taxis, car hire, flights, accommodation) and producing travel packs/itineraries
- Processing personal and credit card expenses
- Filing, archiving and scanning
- Acting as a point of contact for employees, taking and fielding telephone calls, liaising with other departments, chasing deadlines
- Supplier/third party liaison
- Post filtering/re-distribution
- Inbox management (e.g. junk emails/rules/filing/alerts) and organising contacts address book
- Responding to and forwarding of email correspondence as appropriate
- Other ad-hoc secretarial and administration responsibilities
As the duties suggest, we are keen to speak to individuals who are already in a PA role, or possibly a Senior Secretary who is keen to take on responsibility and seeks to secure a more PA based position. What is essential is that applicants have first class communication skills, excellent IT skills (sound Excel knowledge is a must in order to support the Financial Partner) plus good audio and copy typing skills. A working history within professional organisations is preferred.
You will be an excellent listener with first rate grammar, numeracy, comprehension and presentation skills. Of course, as any good PA is, you will be super organised and be relied upon to offer an efficient service at all times. This is a wonderful opportunity to make a role your own. You will not be filling someone else’s shoes so the appointed PA will work with the partners to build their trust and make them realise that they don’t have to undertake their own supportive duties! The role is expected to be busy and will be very proactive to the needs of the Partners. This role isn’t suited to someone who prefers a steady workload dealing with routine duties.
