An excellent opportunity for a company on the FTSE 250 is looking to appoint a new PA to the Senior Vice President. This is a well-known, innovative company that has diversified its product list in recent years. You will be based in the Head Office in a fantastic location overlooking central London’s skyline and some of the capital's most notable landmarks.
We are looking for an accomplished EA who works with a sense of urgency and is always one step ahead. You will support the senior management team who require someone who can provide exemplary support and hit the ground running. Your responsibilities will include:
- Providing efficient support to the SVP and other members of the leadership team, including the FD and Strategy Vice President.
- Acting as a central point of contact for global teams and arranging global team meetings.
- Managing extensive diary and travel arrangements for the SVP, including creating detailed travel itineraries, sourcing and managing accommodation, visa applications, arranging ground transportation, and compiling travel expenses.
- Filtering emails appropriately, handling urgent communications, and prioritising for the SVP.
- Preparing, compiling, and polishing presentations for the SVP.
- Independently organising larger scale meetings (30+ people) at various international locations.
- Organising monthly business review meetings, preparing agendas, and pre-reads for the SVP's team.
- Acting as a champion for the 'information/communication hub' for FBS.
- Meeting and greeting guests at the London office, ensuring they are well catered for.
- Providing additional support to the VP Strategy and Commercial Finance Director, including occasional travel arrangements, preparing expense reports, monitoring SAP expenses and invoices, and arranging meetings.
- Being the general point of contact for all office-related queries, including office supplies, health & safety, meeting room bookings, troubleshooting, and occasional onboarding of new team members.
- Arranging events/meetings for the wider organisation in conjunction with other PAs and providing absence cover as required.
- Processing purchase orders and expenses in SAP and controlling invoice and travel costs.
- Participating in other projects, such as the Social Committee or safety committee, as optional.
- Ability to travel 1-2 times a year to facilitate meetings or conferences as required.
- Performing any other duties as required.
This role requires someone who can cope with working under pressure and to tight deadlines while executing with utmost precision. You must be able to retain and summarise high-level information and be comfortable juggling a heavy and ever-changing workload. You will be joining a team with a real family feel, and they are looking for someone to embody the company values. Ideally, you will be available immediately, though those on a 1-month notice period will also be considered.
