Job description
The opportunity
AJW Group is seeking a highly organised and proactive Executive Assistant to support our Chief Executive Officer on a 12-month fixed-term contract, ideally to start asap.
This role requires a high level of autonomy, discretion, and decision-making. You’ll manage the CEO’s schedule, communications, and travel while coordinating with stakeholders across multiple global locations. The ability to act on remote instructions and deliver efficiently in a fast-paced environment is essential.
Responsibilities include:
Manage complex diaries, meetings, appointments, and business lunches for the CEO.
Arrange international travel itineraries, sourcing competitive rates for flights, hotels, car hire, and restaurants.
Interpret remote instructions and deliver a wide range of executive support services across multiple global locations.
Provide support for personal diary management and arrangements as required.
Prioritise and manage daily correspondence, including responding to emails, preparing reports, presentations, and handling general enquiries.
Raise purchase orders and manage approval processes for various business and personal requirements.
Complete and submit expense reports with accurate receipt tracking.
Undertake ad hoc projects and deliver data-driven insights and information as needed.

Proven experience as a global Executive Assistant, ideally supporting a business owner or senior leader within a privately owned organisation
Highly organised with exceptional attention to detail and time management
Ability to handle confidential information with absolute discretion and professionalism
Self-motivated, adaptable, and capable of working independently across multiple time zones
Expert-level communication skills, both written and verbal
Strong relationship-building skills with a diplomatic and professional approach
Tech-savvy with confidence in using various digital tools and platforms
Tenacious, resourceful, and solution-oriented under pressure
