We are seeking an experienced, efficient, and approachable Office Administrator to join a supportive team at a Key Stage 1, 2 and 3 Pupil Referral Unit in Walsall. This is to start from September.
About the Role
- Welcome visitors to the school, dealing courteously and efficiently with parents, local authority officials, medical officers, suppliers, and other visitors.
- Manage the switchboard, dealing effectively with telephone calls, transferring callers to relevant staff, and taking and passing on messages promptly.
- Receive and respond to incoming calls and emails, routing messages appropriately or obtaining/making outgoing calls as requested.
- Monitor entry systems for the main gate and reception area, ensuring safeguarding and security procedures are followed at all times.
- Communicate effectively with parents via telephone, email, or written correspondence.
- Work both independently and as part of a team, prioritising workload to meet deadlines.
- Prepare letters and mailings using database and mail merge systems.
- Word process, proofread, and format letters, reports, and other documents for internal and external circulation to a high standard.
- Be responsible for providing refreshments to visitors as appropriate.
- Support the organisation of school events, ensuring administrative arrangements run smoothly.
- Maintain the tidiness and presentation of the school office and meeting rooms.
