Purpose of the Executive Assistant Role

The role supports the Corporate Finance Director in managing diaries, meetings, ensuring the smooth running of the function. Providing high-level administrative and operational support to business and its Directors.


Executive Assistant Key Responsibilities


  • Provide high-level administrative support to the Director, including managing calendars and scheduling meetings
  • Project Management – assisting in many strategic initiatives
  • Meeting management - pre-reads, agenda setting, minutes and action logs
  • Preparing meeting briefs, presentations, and supporting documentation.
  • Prepare and manage correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
  • Act as a key point of contact between the Director and internal/external stakeholders.
  • Organise and attend executive meetings, taking minutes and following up on action points.
  • Handle confidential information with discretion and maintain professionalism at all times.
  • Assist with special projects and ad hoc tasks as required by the Director
  • Complex diary and inbox management.
  • Building strong relationships across teams and external partners.
  • Prepare all meeting rooms, in advance of meetings, pens, and refreshments.
  • Set up for any events taking place in the office and externally


Executive Assistant Person specification:

  • Proven experience supporting senior executives
  • Strong diary management and meeting logistics skills.
  • Proficient in document management
  • Experience in board/committee secretariat duties, including agenda preparation and minute-taking.
  • Experience in project support and cross-functional collaboration.
  • Excellent organisational and time management skills.
  • Strong communication and relationship-building abilities.
  • High attention to detail and accuracy.
  • Proficient in MS Office and digital collaboration tools.
  • Able to work independently and collaboratively, demonstrating initiative and adaptability.
