Are you a proactive, strategic and forward thinking PA / Executive Assistant looking for a varied role where you can make a real impact? We are looking for a dedicated EA to support 2 Senior Managers working for an award-winning flourishing company based in Birmingham City Centre. As an Executive Assistant you will provide seamless day-to-day support, ensuring operations run efficiently across diary management, documentation, meetings, travel planning, and communication. This is a fast-paced role, ideal for someone who thrives on responsibility, enjoys variety, and takes pride in providing proactive, high-quality support. This role is permanent, working 4 days from the office and 1 day from home per week.

Key Responsibilities as an Executive Assistant will include:

  • Manage multiple diaries, emails, and team calendars proactively
  • Prepare, format, and collate documents including board reports, meeting papers, letters, agendas, and PowerPoint presentations to deadline
  • Maintain document systems, project databases, and budget trackers
  • Coordinate legal document execution and ensure archiving procedures are followed
  • Organise internal/external meetings, including Teams calls, video conferencing and room bookings
  • Book travel and accommodation and process expenses and mileage claims
  • Act as a key point of contact, answering phones and emails, and managing team communications
  • Update contacts databases and support company-wide document sharing via Teams and OneDrive
  • Support events, CPD tracking, subscriptions and occasional reception cover
  • Take meeting minutes and manage follow-up actions as required

Experience we are looking for to be considered for the role of a Executive Assistant:

  • Strong experience using Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams, OneDrive)
  • Experience working in a property, construction, or project-based environment
  • A proactive mindset with the ability to anticipate needs and take initiative
  • Exceptional organisational skills and attention to detail
  • Excellent communication and interpersonal skills
  • A flexible, can-do attitude and a willingness to assist others across the team
