Property Management Coordinator

Our client is a well-established residential block management company based in North West London.

They are looking for a highly organised Property Management Coordinator to support their team of Property Managers, ensuring the office runs efficiently and that key administrative tasks are completed accurately and on time.

This is an office-based role suited to someone who enjoys organisation, has excellent attention to detail, and is confident in following up with colleagues to ensure deadlines are met.

The successful candidate will play a key role in keeping the property management team organised, accountable and operating efficiently while providing first-class administrative support.

Key Responsibilities

  • Provide day-to-day administrative support to the Property Management team.
  • Monitor outstanding tasks and proactively follow up with Property Managers to ensure actions are completed.
  • Chase paperwork, reports, quotations, contractor documentation and compliance certificates.
  • Keep accurate electronic property records and maintain organised filing systems.
  • Coordinate property inspections and ensure reports are completed and filed promptly.
  • Prepare and issue correspondence to leaseholders, contractors and clients.
  • Raise works orders and monitor progress through to completion.
  • Track compliance requirements, ensuring key documentation remains up to date.
  • Liaise with contractors regarding appointments, updates and completion of works.
  • Answer telephone and email enquiries professionally and efficiently.
  • Support the wider office with general administrative duties.
  • Identify outstanding actions and confidently remind Property Managers of deadlines and priorities to ensure work is completed on time.

About You

  • Previous administration or coordination experience, ideally within residential property, block management or a similar office environment.
  • Highly organised with excellent attention to detail.
  • Confident communicating with colleagues and comfortable following up on outstanding tasks.
  • Able to prioritise multiple deadlines in a busy office.
  • Strong written and verbal communication skills. Proactive, dependable and able to use your own initiative.
  • Previous property management experience is advantageous but not essential.

Monday to Friday, standard office hours

Salary

£32,000–£38,000 depending on experience.
