As our Marketing and Bid Administrator, you will play a vital role inMecsia'scentral operations. This position is about keeping our expanding group organised, connected, and moving forward efficiently.

Operating across both our sales and marketing functions, you will look after central data accuracy, support internal communications that bring our teams together, and coordinate the timelines that keep our work-winning activities on track.

Key Responsibilities

  • Data & System Administration:Take ownership of central marketing and sales data sets, ensuring our group records, databases, and tracking systemsremainaccurateand up to date.
  • Onboarding & Integration Support:Support the smooth operational integration of newlyacquiredbusinesses into theMecsiagroup.
  • Corporate Event Coordination:Assistwith the planning,logistics, and delivery of group events, including CPD sessions, industry conferences, and internal events.
  • Internal Communications:Coordinate and compile regular content for our central internal communication channels.
  • Bid Tracking & Action Management:Manage timelines, action lists, project plans, and deadlines for live bids and tenders using Monday.com , supporting the Group Head of Bids and bid teams to keep work-winning activity on track.
  • Bid Coordination Support:Provide practical support across the bid process, including client interface, e-portal communication, meeting coordination, minute-taking, and follow-up on agreed actions.
  • Proposal Delivery:Help ensure proposals are compliant, professionally presented, commercially sound, and delivered within customer-definedtimeframes.
  • Cross-Functional Liaison:Liaise with internal teams, including sales, legal, finance, and delivery, to gather relevant bid content and keep information moving smoothly.
  • Bid Governance & Best Practice:Support adherence to existing bid procedures, governance, and processes, helping tomaintaina consistent and professional approach across the group.
  • Document Management:Maintain, organise, make available, and back up master document sets so teams can accessaccurateand up-to-date bid materials when needed.
  • Group Collaboration:Act as a central, trusted point of contact, ensuring efficient communication and smooth workflows between individual business units, central bid teams, and the group marketing function.
  • Flexible Group Support:Undertake ad-hoc duties asrequiredto support central work-winning initiatives, adapting smoothly as group priorities evolve.

Key Skills & Experience

  • Relevant Experience:At least two years’ experience in a similar role, withexperiencecoordinating complex, multi-workstream opportunities.
  • Highly Organised Administrator:Proven experience in an administration, project support, or coordination role, backed by exceptional organisational skills and attention to detail.
  • Adaptable & Fast-Paced:Someone who genuinely enjoys flexibility, embraces changing direction when needed, and is comfortable working within a high-energy, evolving business.
  • System Confident:Comfortable working with andmaintainingproject management software, tracking tools, or database systems.
  • Clear, Professional Communicator:Strong written and verbal communication skills, with the confidence and collaborative approach needed to liaise with managers and bid teams across different business units.
  • Ambitious & Growth-Oriented:A proactive attitude and a strong appetite to expand your skill set and progress within the business as theMecsiagroup expands.
  • Self-Motivated Team Player:A confident self-starter who is ambitious, takes initiative, and works equally well independently and as part of a collaborative team.
  • Solution-Focused:A self-starter who naturally enjoys taking ownership of timelines, schedules, and workflows to keep central bid and marketing operations running smoothly.
  • Software Proficient:Confident using Microsoft Office, particularly Word, Excel, and PowerPoint, with experience in Adobe InDesign also highly desirable.
