Key Responsibilities

  • Provide patient-focused and high-quality clerical support to the Respiratory Diagnostic Department.
  • Ensure data quality is the highest priority by accurately recording, filing and tracking all notes, referrals and reports.
  • Schedule appointments in accordance with clinical need and manage a waiting list for patients awaiting investigations.
  • Accommodate patients who require additional appointments and arrange extra clinics to reduce waiting times.
  • Handle telephone queries regarding all aspects of Respiratory investigations and transfer calls to the appropriate staff member if necessary.
  • Type sleep study results letters, upload them to the timeline and send them to external stakeholders.
  • Attend all mandatory training as required, including in-house courses and services development training.
  • Complete other clerical duties as directed, including reception duties when needed.
  • Operate within the constraints of the Data Protection Act and other governance requirements.

Qualifications and Skills

  • GCSE or equivalent in Maths and English (A‑C essential).
  • RSA Stage III typing qualification or proven keyboard skills; accurate typing required.
  • Proficient in Microsoft Office including Excel and Power Point.
  • Strong organisational and planning skills, ability to prioritise workload and work independently.
  • Excellent communication skills and a customer‑service mindset.
  • Knowledge of the NHS appointment system and experience with audit reporting is preferred.
  • Experience supervising a team and working within a busy environment.
