We are seeking a highly organized and patient-focused Patient Services Coordinator to support the delivery of a high-quality, compliant service. In this role, you will coordinate prescription management, maintain patient stock levels for medical and ancillary products, and process orders for home delivery. Working under the supervision of the Responsible Pharmacist, you will play a key role in ensuring patients receive a seamless service in line with operational KPIs and service standards.
Responsibilities
- Manage inbound and outbound calls and emails to process patient orders and resolve queries
- Activate new patients onto the service and coordinate deliveries in line with requirements
- Accurately enter prescriptions and instructions into the Patient Management System
- Process patient orders, including chargeable items, in line with prescriptions
- Manage collections and returns within required timeframes
- Maintain accurate records, including tracking, filing, and archiving documentation
- Ensure patient confidentiality is upheld at all times
- Report system issues and elevate concerns where appropriate
- Support safe and accurate dispensing practices, including reporting any errors or near misses
- Record complaints accurately and forward clinical or safety-related queries to the Responsible Pharmacist
Requirements
- Dispensing Assistant qualification (Level 2 or equivalent) or willingness to complete training
- Strong experience in customer service or patient-facing roles
- Experience using CRM or patient management systems
- Previous healthcare or pharmacy experience is advantageous
- Excellent communication and interpersonal skills, including a professional telephone manner
- Strong attention to detail and ability to manage high volumes of work accurately
- Good organisational and prioritisation skills in a fast-paced environment
- Proficient in Microsoft Office and general IT systems
- Collaborative, process-driven, and comfortable working with data
- Awareness of healthcare products, services, or NHS structures is desirable
