Operations & Team Assistant – Legal & Compliance

We are looking for a highly organised and proactive Operations & Team Assistant to support a global Legal, Ethics & Compliance and Company Secretariat team based in London. This is a fast-paced administrative and coordination role β€” not a legal practice role β€” and would suit someone with a strong background as a Legal PA, Legal Secretary, Legal EA, or Law Firm Team Assistant who thrives on keeping senior teams running smoothly.

This role provides central support across:

  • Administrative and operational support for the Legal, Ethics & Compliance team, including managing the setup and billing for external counsel, document support, troubleshooting expense reports, assisting with scheduling and logistics, and supporting legal IT tools
  • Company Secretariat operations, including supporting the Company Secretary with scheduling and managing board meetings, preparing and distributing board packs, and coordinating director training sessions
  • Logistical and onboarding support for the Legal and Ethics & Compliance teams, including coordinating access for new hires, contractors, and secondees

This role is part of a global Legal, Ethics & Compliance and Company Secretariat team (approximately 25 people), working alongside colleagues in London, the US, Singapore, Australia, Brazil, and Shanghai. The position will involve collaboration across regions to ensure consistency and alignment in operations.

You'll be the operational backbone of the team β€” coordinating across time zones, managing competing priorities, and ensuring nothing falls through the cracks. As a key point of contact, strong communication skills and a proactive, approachable style are essential. The role also requires handling sensitive information, so discretion and confidentiality are critical.

A legal qualification is not required or expected. What we're looking for is someone who understands the pace, sensitivity, and confidentiality demands of a legal environment, and brings exceptional organisational ability, sound judgement, and a proactive, can-do approach.

Key Accountabilities

  • Support senior diary management and travel arrangements, and assist the wider Legal, Ethics & Compliance and Company Secretariat teams with ad hoc needs, including document and IT troubleshooting
  • Provide support for key legal digital tools, including management of the Legal Hold system
  • Manage onboarding of external counsel and service providers into applicable systems, including e-billing, and oversee fee management and payments
  • Support the Company Secretary with scheduling and managing board meetings, preparing and distributing board materials, and coordinating director training sessions
  • Coordinate onboarding and system access for new hires, contractors, and secondees
  • Assist with scheduling, logistics, and materials preparation for meetings, and help organise team events across global offices
  • Format and edit documents across Word, Excel, PowerPoint, and PDF
  • Provide additional support across global offices as needed

Essential Education

  • Strong academic background with native or fluent written and spoken English

Essential Experience & Requirements

  • Proven experience as a Legal PA, Legal Secretary, Legal EA, or Team Assistant within a law firm, in-house legal team, or corporate governance function
  • Experience coordinating board or committee meetings and preparing board packs or executive materials
  • Familiarity with vendor onboarding, invoicing, or billing processes
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint) with strong document formatting skills
  • Excellent communication and interpersonal skills β€” approachable, professional, and confident dealing with senior stakeholders
  • Discreet and trustworthy when handling sensitive or confidential information
  • Self-motivated, adaptable, and calm under pressure
  • Comfortable working across time zones and collaborating with international colleagues
