As a Estates Contractor & Systems Coordinator, you will play a key role in supporting the Estates and Facilities Management team in the delivery of Hard Facilities Management services across our Regent’s Park and Whipsnade Zoo sites.

You will be responsible for coordinating and supervising contractor management across the Estates teams, ensuring that contractors, equipment and facilities meet the required health and safety, security, environmental and compliance standards.

You will also maintain and administer effective systems for contractor compliance checks, internal Health & Safety documentation, policy adherence and equipment management across both UK sites.

Working closely with the Health & Safety team, you will help ensure that our Estates and Facilities operations are safe, compliant and effectively managed.

The role will involve continual liaison with colleagues, contractors and stakeholders to support the delivery of key responsibilities across Hard Facilities Management, Asset Management and Workplace Management, as well as the systems and processes that underpin these areas.

This role is offered on a full time basis working 37.5 hours per week, with responsibilities based across both our London and Whipsnade Zoo sites.

Key responsibilities

  • Contractor Management: Own and maintain the Contractor Management Database, ensuring records and compliance information are accurate and up to date.
  • Contractor Inductions: Coordinate and prepare contractor inductions, ensuring site and Health & Safety requirements are understood.
  • H&S Compliance: Working alongside the H&S Coordinator, assist in maintaining estates related elements of our core safety systems, such as Permit to Work, COSHH, Risk Assessment, training records and accident reporting, all in accordance with relevant procedures.
  • Operational Support: Support the Estates Operations team with contractor management and day-to-day site activities.
  • Audits & Reporting: Support the Department and Compliance Team with preparation of documentation for audits, inspections and monthly reports.
  • Procurement & Administration: Support the procurement of materials and equipment, alongside general Estates administration and records management.
  • Advanced skills in Microsoft Office packages, particularly Excel and Power Point, or equivalent software packages.
  • Proven ability to manage competing priorities effectively and meet deadlines in a fast-paced environment.
  • Demonstrable working knowledge and experience of using CAFM systems.
  • IOSH qualification or equivalent preferred.
  • Ability to work efficiently and autonomously under pressure, while maintaining a high level of accuracy and attention to detail.
  • Excellent communication and customer service skills, with a professional and approachable manner.
  • High levels of confidentiality, discretion, diplomacy, and accuracy when handling sensitive information.
  • Ability to work effectively as part of a team and build positive working relationships with colleagues, customers, and stakeholders.
