We are seeking a Project Coordinator to join our team! You will oversee project planning, scheduling, budgeting, and implementation.

Purpose
The Project Coordinator’s primary responsibilities are to support the management of the operations of a construction project. The person is a detail-oriented, motivated, independent worker who thrives at being the linchpin and public face of the construction project. This person will have excellent multi-tasking and service-oriented communication skills. This position requires one to juggle competing demands, meet deadlines, coordinate with cross-functional teams (clients, subcontractors, vendors, and labor), and manage contracts.

Essential Duties and Responsibilities

GENERAL

  • Assist Project Managers with initial project setup.
  • Support the project staff as needed.
  • Assist in assembly of bid packages as requested.
  • Prepare and issue subcontracts and insurance requirements.
  • Distribute all paperwork to appropriate person(s).

PROJECT INITIALIZATION

  • Complete special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.
  • Create and maintain project files.
  • Project Manual development and responsibility.
  • Assist in the preparation of assigned spreadsheets based on template provided.
  • Assist Operations in creating the general and special conditions, safety requirements, and scope requisitions for each project.
  • In conjunction with Project Team, develop, execute, and monitor Risk Management Plans where/when required.
  • Input, generate and track purchase orders, work orders, service agreements.

PROJECT MAINTENANCE

  • Track project specific insurance and P&P bonding.
  • Assist Accounting in obtaining all paperwork from subcontractors and vendors so that payments will be released promptly.
  • Assist Project Manager with preparation of project meeting minutes and punch list tracking if requested.
  • Track and maintain logs for Insurance, Subcontract Status Report, and Closeout for projects.

PROJECT CLOSE-OUT

  • Review project close-out checklist with Project Manager.
  • Email subcontractors to obtain all items necessary to complete the Operation and Maintenance Manual.
  • Notify Project Manager of progress of close-out manuals regularly.
  • Complete Operation and Maintenance Manual and forward as directed by Project Manager.

Qualifications
Two or more years’ experience in general office responsibilities and procedures, experience with a contractor, architecture firm, or similar. Experience with document control and contracts. Excellent communication skills across diverse populations required. Self-starter with a high degree of personal accountability and ability to multi-task required. Working knowledge of Microsoft Word and Outlook; Excel, PowerPoint, and Project. Must be able to work independently and as a part of a team. Ability to learn and adapt to new software.
