Operations Coordinator

Position Summary:
The Operations Coordinator is responsible for the planning, tracking, documentation, and coordination of all activities.
Required Experience:
- 1-3 years of project management experience
- Experience with project management software
- Develop & manage functional playbooks, reports, and dashboards
- Develop & manage workflows involving multiple operational functions
- Ability to work well under pressure and complete assignments accurately; can work independently and manage time effectively
- Must exhibit a high degree of initiative, good judgment, and professional ethics
- Must be highly organized, able to prioritize, and multi-task in a fast-paced environment
- Ability to oversee/manage project budgets
- Proven organizational and communication skills
- Experienced training skills necessary
Key Responsibilities:
- Smartsheet Workbooks: Manage project tracking and timelines using Smartsheet. Keep project workbooks updated and organized.
- FTE Tool: Track employee staffing and hours. Monitor and report on team resource allocation.
- Contracts/Pricing: Manage contracts and vendor pricing. Ensure contracts are up-to-date and pricing is accurate.
- Provider: Manage relationships with vendors. Keep track of vendor contracts and ensure good performance.
- Lease Agreements: Track and manage lease agreements for offices and facilities. Ensure leases are current and renew on time.
- Teams Channels: Organize and manage Teams communication channels. Set up and maintain channels for team collaboration.
- Special Projects: Oversee special projects from start to finish. Help plan and track project progress.

- Provides operational support
- Develops and maintains positive relationships
- Completes appropriate paperwork and recommends improvements and more efficient ways of operating
- Perform other duties as necessary
