About the role: We are looking for a highly organised, motivated and proactive Office Coordinator to play a key role in ensuring the smooth day-to-day running of our workplace. Acting as the first point of contact for visitors and employees, you will create a welcoming and professional environment while managing a range of office and administrative duties. In this varied role, you will oversee reception responsibilities, office maintenance, health & safety procedures, and supply management. You’ll also provide general administrative support to the wider team, helping to maintain an efficient and well-organised workplace. The role will require you to be on-site 5 days a week.

Day-to-day responsibilities:

  • Management of front of house and reception services
  • To welcome and meet all incoming visitors in a professional and friendly manner, ensuring all visitor needs are met
  • Oversee and manage meeting room requirements and complex scheduling
  • Support with the events management, this is not limited to arranging in office or off-site events
  • Organise the end-to-end process of post, directing all on site deliveries and post for internal distribution, assisting with parcel collection and sending
  • Support with ordering all stationery and consumables for the office and ensure areas are stocked and adequately and neatly kept and maintained
  • Act as the main contact for building management and the cleaning company
  • Ensure all office spaces are tidy, organised, and fully functional
  • Address any maintenance issues and liaise with vendors for repairs
  • Ensure Health & Safety Compliance by maintaining workplace safety protocols and compliance with H&S regulations
  • Conduct routine safety checks and keep emergency procedures up to date
  • Work closely with the Office Management team and assist in ad-hoc and planned tasks as requested
