This is an exciting opportunity within the Urology Outpatient Services, based at the Urology Centre City Hospital. The Outpatient Administrator’s core working days are Monday to Friday between 8:00 and 17:00. You will have excellent customer service skills and be committed to providing a first-class service. You will be a conscientious and enthusiastic team player with excellent organisational skills. You will need to demonstrate a clear understanding of confidentiality issues, be well motivated and reliable. You will be able to understand and accurately convey verbal and written information and remain calm under pressure. Use your own initiative and respond to queries within and outside of the Organisation with a professional manner to patients, relatives and staff. You will present a professional and polite attitude at all times. You must be educated to GCSE standard, possess excellent communication skills and be competent in the use of computer systems including Microsoft packages and Careflow.

Main duties:

  • Provide high quality admin and clerical support as part of the outpatient team.
  • Use initiative and skills to develop processes and ensure the effective provision of a quality service.

  • Administrative responsibilities include managing the Electronic Referral System, receiving referral letters, email referrals, and internal and external Consultant referrals, maintaining outpatient appointments, and scheduling appointments in line with Trust waiting list targets.
  • Handle associated telephone calls with close liaison with Managers within Directorates, GP surgeries, patients, and hospital staff to provide a prompt, quality patient-focused service.

Job responsibilities:

The post holder will be required to take responsibility for administering the Electronic Referral System, receiving referral letters, email referrals, and external and internal Consultant referrals, maintaining outpatient appointments, using judgement and initiative to schedule appointments in accordance with Trust waiting list targets, and handling associated telephone calls for the specialty. Close liaison with Managers within the Directorates, GP surgeries, patients, and hospital administrative and clinical staff is necessary to provide a prompt and quality patient-focused service.

Training & Qualifications

Essential: Educated to GCSE level or equivalent, including English at Grade C. Desirable: GCSE A-C passes including English and Maths or equivalent.

Experience

Essential: Experience of MS Office; previous office experience; understanding of confidentiality; typing/word processing. Desirable: Knowledge of outpatient work; customer service; knowledge of hospital IT systems (e.g., Medway PAS, Notis).

Communication and relationship skills

Essential: Ability to develop good working relationships with medical and other staff.
