As a Legal Administration and Operations Paralegal, you will join our high-performing Group Legal team on a permanent basis. The role is UK-based but supports our global business, making it a highly visible position that offers excellent exposure across a number of departments as well as strong growth and development opportunities.
This role sits at the heart of how the Legal function runs day to day. A significant part of it is ownership of our company secretarial and governance machinery, from preparing Board packs to keeping our entity management portfolio in good order. You will also sharpen our legal operations and provide dependable support across commercial contracts and data privacy. It is a broad remit suited to someone equally comfortable handling the detail of governance administration and driving improvements to the way our team works.
As a member of Zepz’s Group Legal team you will aim high, embrace challenge and always do what’s right. Reporting to a senior member of the Legal team, you will own a varied portfolio that spans governance, legal operations and commercial support.
What you bring to the table
- Company Secretarial & Governance Experience: You bring hands-on experience supporting company secretarial or governance activities, including preparing Board and committee packs, managing entity records or running a company secretary day-to-day inbox. You understand the rhythm and discipline that good governance demands.
- Legal Operations & Technology: You have experience developing and implementing workflows and process flows across a variety of technology platforms. Familiarity with tools such as LawVu, Jira and DocuSign is essential.
- Contract & Commercial Support: You are comfortable providing first and final reviews of commercial contracts and supporting negotiations, including software agreements and marketing services agreements, with appropriate supervision.
- Sector Awareness: Recent experience working with businesses in the payments or financial services sector is desirable, though not essential.
- Legal Foundation: Previous legal experience gained through study or work is essential.
- Attention to Detail & Organisation: You have strong attention to detail and strong organisational skills, with the ability to prioritise competing workstreams in line with the needs of the Legal team and wider business.
- Communication & Collaboration: You have strong interpersonal and communication skills, building good working relationships at all levels both internally and externally. You can work independently but are also a team player who fosters knowledge sharing across teams and departments.
What you will focus on
- Company Secretarial & Governance: Support company secretarial activities, including preparing Board and committee packs and assisting in managing our entity portfolio. Monitor and manage our shared company secretarial inbox, ensuring requests are triaged and actioned promptly. Help maintain accurate corporate records and governance documentation across our group entities.
- Legal Operations & Process Improvement: Lead on legal operations projects, including automation of processes; assignment of matters to our in-house lawyers; updates to existing technology platforms; and policy writing and implementation. Deliver the migration of key data points and contracts into our contract management system. Be the primary point of contact or escalation for all NDA requests.
- Contracts & Commercial Support: Provide first and final reviews of commercial contracts and support on negotiations, with appropriate supervision. Provide support on related administrative tasks such as raising purchase orders and budget management. Support data privacy work, for example helping to automate data privacy impact assessments. Perform ad-hoc tasks to support the overall legal function.
- AI Literacy & Tools: A genuine curiosity about AI and how it can be applied in your area of work — from accelerating analysis and insight generation, to improving how we design and deliver processes and communications. Practical experience using AI tools in a professional context — whether to connect information, draft content, build frameworks, or create insights from data. We want people who actively use AI to increase productivity, not those who are waiting to be told to. Strong AI literacy — an understanding of what AI assistants can and cannot do, how to prompt effectively, and how to critically evaluate AI-generated output before using it. Awareness of the ethical considerations and responsible use of AI in the workplace, particularly in the context of sensitive data, customer experience, and compliance.
