The Assistant Property Manager supports the Property Management team in the delivery of a high-quality residential block management service across a portfolio of developments. The role sits between Property Support Advisors and Property Managers, with responsibility for handling building-specific enquiries, coordinating operational matters at site level, and supporting the delivery of property management services in line with management agreements, block leases, and RICS / TPI best practice. The role offers broad exposure to residential block management, including landlord and tenant legislation, health and safety compliance, maintenance coordination, procurement support, and customer service while developing the skills required to progress into a Property Manager position.
Key Duties and Responsibilities:
- Act as a key point of contact for leaseholders, residents, contractors, and suppliers regarding building-specific management queries.
- Handle incoming calls and emails as overflow cover when Property Support Advisors are engaged or unavailable.
- Provide clear, accurate, and timely responses to enquiries, managing expectations and ensuring issues are progressed appropriately.
- Support Property Managers in delivering services in accordance with management agreements, block leases, RICS codes of practice, and internal KPIs.
- Work collaboratively with Property Support Advisors, Property Managers, and other internal teams to ensure a consistent service experience.
- Ensure all property records, correspondence, and documentation are accurately maintained on the Property Management system.
- Carry out regular site visits and block inspections, identifying defects, maintenance requirements, and health & safety concerns.
- Accurately record inspection findings, actions, and follow-ups on the Property Management system.
- Monitor compliance with Health & Safety requirements and report issues to the Property Manager where necessary.
- Attend residents meetings, site meetings, and AGMs alongside Property Managers where required. Take accurate minutes and ensure agreed actions are recorded and followed up.
- Liaise with the internal maintenance division to arrange and progress reactive and planned maintenance works.
- Assist with the procurement of external contractors, including preparing scopes of works, obtaining quotations, and supporting tender processes.
- Monitor contractor performance and service contracts, reporting any issues to the Property Manager.
- Maintain a strong awareness of current landlord and tenant legislation, health and safety law, and industry best practice.
- Ensure safe working practices are followed at all times, with due regard to personal safety and the safety of others.
Requirements:
- Experience within the residential property management or block management sector.
- Strong organisational skills with the ability to manage a varied workload across multiple developments.
- Excellent communication skills, both verbal and written, with the confidence to handle building-specific enquiries.
- Customer-focused, with the ability to balance service delivery with contractual and legislative obligations.
- Competent IT skills, with the ability to learn and become proficient in property management systems.
- Full UK driving licence and access to a vehicle (where possible).
