Zenith Property Management is looking for an experienced Leasehold Coordinator to join our dedicated team, playing a vital role in managing the end-to-end leasehold sales process across our growing portfolio.

Working as part of a close-knit team, you will act as the primary point of contact for solicitors, clients, and leaseholders throughout the conveyancing process ensuring all documentation is prepared accurately, enquiries are handled efficiently, and sales progress smoothly from instruction through to completion.

Key Responsibilities

Duties and responsibilities include, but are not limited to

  • Leasehold Sales & Management Pack Administration
  • Manage leasehold sales enquiries end to end, from initial instruction through to completion.
  • Prepare, compile, and issue Management Packs in response to LPE1 requests within agreed SLA timeframes.
  • Complete LPE1 and LPE2 forms, providing accurate information on service charges, ground rent, reserve funds, insurance, arrears, and lease obligations.
  • Prepare and issue Compliance Certificates, Landlord Certificates, and Leaseholder Certificates under the Building Safety Act 2022.
  • Issue Notices of Assignment, Notices of Charge, Deeds of Covenant, and Licences to Assign, maintaining accurate records of all completed transactions.
  • Solicitor & Client Liaison
  • Act as the primary point of contact for solicitors, conveyancers, leaseholders, and clients throughout the sale transaction process.
  • Respond promptly and professionally to additional solicitor enquiries, interpreting lease terms accurately and providing clear, informed replies.
  • Manage expectations and communications with all parties, keeping everyone informed of progress and any delays.
  • Caseload Management & SLA Compliance
  • Manage a shared caseload effectively, tracking all active enquiries, instructions, and outstanding actions to ensure nothing falls through the gaps.
  • Monitor and report on SLA performance, taking proactive steps to avoid delays and escalating cases at risk of breach.
  • Raise administration fees and disbursements accurately in accordance with company fee schedules.

Requirements

  • Proven experience in a leasehold sales, conveyancing support, or block management administration role.
  • Demonstrable experience preparing LPE1 forms and leasehold management packs.
  • Sound understanding of leasehold tenure, residential block management, and the conveyancing process.
  • Knowledge of relevant legislation including the Building Safety Act 2022, Landlord and Tenant Act 1985, and Leasehold Reform legislation.
  • Excellent written communication skills and strong ability to interpret lease documents and respond accurately to solicitor enquiries.
  • Highly organised with ability to manage a high-volume caseload and prioritise effectively to meet SLAs.
  • Meticulous attention to detail and confident user of Microsoft Office and property or case management systems.
