Role Description

As a Financial Advice Administrator, you'll play a key role in the smooth day-to-day running of our advice process, providing essential administrative support to our financial advisers and ensuring our clients receive a seamless, professional service.

Key responsibilities

  • Preparing client documentation, including valuations, illustrations, cash flow forecasts, and suitability reports
  • Processing new business applications and liaising with product providers
  • Maintaining accurate client records on our back-office system
  • Handling client queries by phone and email in a professional, friendly manner
  • Scheduling client meetings and supporting advisers with pre- and post-meeting preparation
  • Ensuring compliance with regulatory requirements and internal processes
  • General administrative duties to support the wider team

About You

We're looking for someone with around 1-3 years’ experience in a financial services administration role, ideally within an IFA or wealth management setting. You’ll be:

  • Highly organised, with excellent attention to detail
  • A clear and confident communicator, both written and verbal
  • Comfortable working with financial services systems and Microsoft Office
  • Proactive, with a strong sense of ownership over your work
  • relevant industry qualifications (e. g. CII) welcome, though not essential

Qualifications

  • Strong administrative and organizational skills, including accurate data entry, document management, and attention to detail.
  • Proficient IT skills, with confidence using Microsoft Office (Word, Excel, Outlook) and learning new systems or CRM platforms.
  • Effective written and verbal communication skills, with a professional telephone manner and the ability to handle client queries courteously.
  • Basic understanding or keen interest in financial services, investments, and protection products; prior experience in a financial or professional services environment is an advantage.
  • Ability to prioritize tasks, manage time effectively, and work both independently and as part of a small team in a hybrid setting.
  • Commitment to maintaining confidentiality, following regulatory and compliance procedures, and upholding high ethical standards.
  • Educated to at least secondary school level; further education or professional qualifications (e. g., in business, finance, or administration) are beneficial.
  • Willingness to learn, adapt, and develop within the role, with potential to take on additional responsibilities over time.
