Job Description
Zenith Energy Limited is a well engineering consultancy and project management company providing a range of specialist services to the oil and gas industry.
An independent company, owned and managed by engineers, respected across the industry, our footprint includes offices in Aberdeen, Perth Australia, Dakar Senegal, and Abu Dhabi.
With our people being our most important asset and are seeking a Recruitment / Business Administrator to complement our existing recruitment team.
As a core member of the admin support team, you will have direct responsibility for providing business support to the recruitment division.
Role Responsibilities
- Contracts & Compliance
- Oversee the contract administration for all Zenith contingent personnel, raising contractual paperwork and issuing out internally and externally for execution.
- Onboard all contingent personnel, obtaining documents, reference checking in accordance with contractual compliance.
- Oversee the maintenance of all certifications related to working consultants held is current. Chasing individuals in advance for expiring certifications and documentation.
- Ensure that all contingent worker assignments, amendments and variation orders are raised in a timely fashion.
- Maintenance of all contractor files and Client Contract files; Registration, filing and archiving of all departmental documents and updating of database.
- Become an advanced user of the company’s recruitment database to drive efficiencies and reduction in manual processes.
Become fully conversant on short cuts, templates and searches to help improve the use and effectiveness of the system, sharing knowledge with the recruitment team.
- When required provide logistic support for offshore mobilisations and booking travel / accommodation / visas.
- Recruitment
- Supporting the sourcing and screening of candidates.
- Maintaining and updating internal systems and databases.
- Create job postings across recruitment database, company website, job boards and social media platforms.
- Create and implement database improvements such as automation of workflows to improve administration.
- Upload and reformat candidate’s CVs onto database, ensuring CVs are presented in a clear and standard format.
- Acting as a focal point for office calls screening candidates to qualify individuals for positions, dealing with queries from current workers.
- Other Administration
- Provide logistic support to consultants/clients booking travel/accommodation/visas when required.
- Provide administration support to other departments when required.
Experience & Qualifications
- The successful applicant will have a keen interest in recruitment operations.
- Strong organisational skills with the ability to prioritise and manage multiple tasks.
- Confident user of IT systems, including Microsoft Office (Word, Excel, Outlook).
- Previous experience in administration, recruitment, or a similar support role.
- Experience of preparation, negotiation and administration of a variable range of commercial contracts in the oil & gas industry will be a distinct advantage.
- Familiarity with employment legislation including AWR (Agency Worker Regulations, WTD (Working Time Directive) would also be helpful although not compulsory
