Zen is focused on delivering exceptional value to customers through innovative solutions, operational excellence, and a high-performing commercial team. As we scale, we are looking for a proactive Sales Operations Manager to make our sales organisation faster, better informed, and more predictable.

Role Overview

The Sales Operations Manager will be responsible for optimising sales processes, maintaining CRM integrity, driving reporting and forecasting accuracy, and working with a virtual team to co-ordinate bid responses. This role serves as a strategic partner to Sales Leadership/Teams and collaborates closely with Marketing, Customer Success, Finance, and Product teams. The ideal candidate combines analytical rigour with strong business acumen and works with a bias for action — spotting problems and bringing solutions rather than waiting to be tasked. They are curious about AI, actively experiment with new tools to raise the speed and quality of their own work, and thrive in a fast-paced, growth-oriented environment.

Key Responsibilities

  • Sales Process & Execution: Design, document, and continuously improve sales processes across the revenue funnel — proactively hunting out bottlenecks and owning the changes that fix them, measured on productivity and conversion impact. Drive adoption of best practices across the sales organisation.
  • CRM & Systems Management: Jointly own CRM administration, governance, and data quality standards, including data privacy obligations relating to customer data. Evaluate and implement sales tools that improve efficiency and visibility. Identify and support the scale-up of AI and automation opportunities across the sales workflow — data enrichment, lead routing, activity capture, and bid content generation — building the business case for what works and retiring what doesn't.
  • Reporting, Analytics & Forecasting: Build and maintain dashboards, scorecards, and executive reporting, using AI tooling to automate manual report production and free up time for analysis. Analyse pipeline health, sales performance, conversion metrics, and revenue trends — using AI-assisted analysis to surface risks, anomalies, and opportunities before leadership asks for them. Partner with sales leaders to improve forecast accuracy and predictability. Deliver actionable insights and ad hoc analysis to support leadership and cross-functional decision-making.
  • Planning & Performance Management: Support annual and quarterly sales planning, including account segmentation and sales coverage models. Play an active role in the monthly business review cadence — the metrics, the pack, and the follow-up actions — and drive recommendations to improve KPI attainment.
  • Bid Co-ordination: Work with sales teams and key stakeholders to co-ordinate bid processes and responses. Own the template response library and proposal/order documentation, using AI drafting tools to accelerate first drafts while retaining editorial quality control.

Qualifications

  • Strong experience of CRM platforms (preferably Salesforce, HubSpot, or similar).
  • Experience building dashboards and conducting data analysis.
  • Demonstrated appetite for learning and applying AI tools such as AI assistants and automation platforms.
  • Strong problem-solving and project co-ordination skills.
  • Excellent communication and stakeholder management abilities.
  • Ability to work independently in a dynamic, high-growth environment.
