This role sits at the heart of the Zego experience. As Workplace Experience & Facilities Co‑ordinator you will own day‑to‑day office operations, compliance, and hospitality across our London headquarters, with responsibility for our Halifax office too. You will manage contractors, maintain health and safety compliance, keep the office stocked and welcoming, and support events, onboarding and internal communications. The role is fully in‑office, Monday to Friday, 8:30 am to 5:30 pm in our central London office.
Responsibilities
- Own the day‑to‑day running of the London office: keeping it tidy, stocked, safe and welcoming.
- Act as the first point of contact for building management, maintenance contractors and facilities queries.
- Manage stock control and inventory of supplies, merchandise and groceries.
- Own fire, health and safety compliance – maintain procedures, run inductions and keep the office up to standard.
- Maintain front‑of‑house security, visitor sign‑in and attendance reporting.
- Conduct daily floor walks to ensure standards are consistently high.
- Serve as the remote lead for the Halifax site – manage weekly orders, coordinate maintenance and visit monthly.
- Arrange catering for meetings and the weekly in‑office Friday breakfast.
- Support planning and delivery of company‑wide events (summer, Christmas parties, etc.).
- Support new‑starter onboarding – coordinate office tours, setup and first‑day experience.
- Help create diversity and inclusion moments throughout the year.
- Champion good office behaviours and develop clear principles with Zegons.
- Support internal communications and contribute to a workplace that reflects Zego’s culture and values.
Qualifications
- Previous experience as an office coordinator, front‑of‑house or facilities role, ideally in a fast‑paced start‑up/scale‑up environment.
- A genuine can‑do attitude and energy to match – no task too big or too small.
- Experience supporting or coordinating events from logistics and catering to on‑the‑day delivery.
- Strong organisational skills and the ability to juggle competing priorities without dropping the ball.
- Solid knowledge of workplace health and safety practices, fire regulations and risk assessments.
- Experience managing contractors, vendors and subcontractors.
- A proactive, solution‑first mindset – spot problems before others and fix them before asked.
- Comfortable working with a wide range of stakeholders, from senior leadership to external suppliers.
- A natural feel for culture – understand how a physical space can bring values to life.
