We’re looking for a Business Systems Manager to help Zeelo scale by improving the systems that power our daily work. This is a hands-on, versatile role reporting to the VP Data & Enablement and responsible for understanding users, identifying requirements, designing and implementing changes. You will be responsible for the configuration and optimization of our enterprise toolstack, comprising our CRM, work management tools, AI telephony and chat tools, and other software systems that we use every day.
What You’ll Do
- Own and optimise the configuration of business systems across all business areas (Marketing, Sales, HR, Customer Success, Operations, Customer Care).
- Spend roughly half of your efforts on HubSpot, with the remainder on other business systems such as Slack, Rippling, Aircall, Linear and Google Workspace.
- Work with system users to understand their key processes and pain points.
- Maintain system hygiene and troubleshoot issues quickly.
- Document custom system design and key usage patterns.
- Reduce friction for teams by leveraging automation. Use AI and automation to reduce manual work and improve data quality by building and maintaining low-code/no-code automations, agentic AI platforms, and integrations using tools like HubSpot and n8n.
- Work closely with the Ops, Commercial, Program Management Office (PMO), and Data to understand how systems support their work and propose practical opportunities to improve tools and AI use in daily processes.
- Implement and govern a robust, effective change control system for business system configuration changes, ensuring that proper safeguards, approval, and prioritization frameworks are in place.
- Support the Program Management Office (PMO) with technical feasibility analysis during process mapping and solution design.
- Work with Commercial and Operations leadership.
What We’re Looking For
You’re someone who genuinely enjoys building the systems behind the scenes that make a business run faster, cleaner and smarter. You don’t just “admin a CRM” — you take pride in turning messy processes into scalable workflows, spotting friction before others do, and making sure the tools people rely on every day actually work.
You’ve spent the last few years deep in CRM environments (at least 3+), so you’re confident managing the fundamentals and the complexity: workflows, custom objects, permissions, reporting, data hygiene and troubleshooting are all familiar territory. HubSpot, in particular, feels like home — you’ve worked extensively with it for 2+ years and know how to get the best out of the platform without over-engineering it.
You also have a strong grasp of how enterprise systems connect together, and you understand the role each one plays across the organisation — especially within Go-To-Market functions like Sales, Customer Success, Marketing and Operations. You think in “architecture” terms: what data should flow where, what needs to be the source of truth, and how system design choices affect performance across the funnel.
Automation is where you really shine. You’re comfortable using low-code/no-code tools (HubSpot workflows, n8n, or similar) to reduce manual work and improve reliability. You’re not afraid to experiment, but you’re disciplined too: you build automations that are robust, maintainable and easy to adopt.
You’re also excited by the practical use of AI in operations — not as hype, but as real tools for real workflow improvement: smarter routing, summarisation, task automation, prompt-enabled system actions… the kind of improvements that make teams instantly more productive.
Above all, you bring a product mindset. You’re curious, proactive, and you can translate business pain points into clean system solutions. You ask the right questions, understand the underlying need, and deliver configuration that scales with the company rather than creating complexity down the line.
You communicate clearly and you’re comfortable partnering with a wide stakeholder group — Sales, Customer Success, PMO, Data and Operations — balancing structure with speed in a scale-up environment. You can hold a backlog, prioritise requests, keep people informed, and deliver improvements iteratively without losing control of detail.
