This role exists to ensure the effective day-to-day management of compliance, technical administration, and product documentation activities across the business. The position is required to maintain continuity of key compliance systems, customer requirements, supplier approvals, and technical documentation, ensuring the business continues to meet all legal, customer, and certification standards.
Who the Role Serves
- Internal departments including Technical, Production, NPD, Purchasing, and Operations teams by maintaining accurate specifications, recipes, labels, and compliance documentation.
- External customers through the completion of customer specifications, questionnaires, technical enquiries, and portal management.
- Suppliers by coordinating documentation required for raw material approval and ethical compliance processes.
- Auditors and certification bodies by ensuring documentation, systems, and records are audit ready.

Key Responsibilities
- Create and issue product specifications for internal and customer use, maintaining the Specification Database.
- Complete customer template specifications and manage online specification portals.
- Complete customer questionnaires relating to product safety, allergens, halal, and other compliance requirements.
- Maintain the SEDEX system, ensuring customer and approved supplier links are current and supplier SAQs are completed.
- Liaise with customers regarding compliance queries, technical requests, and documentation.
- Support supplier approval processes by requesting and reviewing supplier documentation.
- Create and issue internal recipes, ensuring live BOMs are maintained for all finished products and recipe databases are accurate.
- Create and issue finished product labels, ensuring compliance with current legal labelling requirements.
- Maintain QMS systems, master documentation, risk assessments, training matrices, and training records.
- Monitor weekly and monthly legal compliance requirements, including RSPO validation, FSA alerts, RASFF alerts, and food law updates.
- Support internal audit schedules, traceability exercises, allergen validation, and ensure the site remains audit ready.
- Assist with external audits including BRCGS, customer, and RSPO audits.
Job Requirements
- Previous experience in an administrative or compliance role, ideally within food manufacturing, FMCG, or another regulated industry.
- Strong organisational skills with the ability to manage multiple tasks and deadlines effectively.
- Excellent attention to detail and accuracy in document management and data entry.
- Good IT skills, including Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to manage and maintain databases, records, and document control systems.
- Strong written and verbal communication skills for liaising with suppliers, customers, and internal departments.
- Ability to work independently and prioritise workload in a fast-paced environment.
- Understanding of confidentiality and document control requirements.
