Role in summary
We are a rapidly growing creative advertising agency seeking a proactive and organised Office Assistant to manage the day-to-day operations of key offices in both London and Manchester.This role ensures the smooth, safe, and efficient running of our workplaces, with responsibility for everything from facilities management and supplies ordering to coordinating maintenance and ensuring compliance.
What you’ll be doing:
- Overseeing the daily running of both the London and Manchester offices, ensuring an organised and professional environment.
- Acting as the first point of contact for all facility issues, coordinating and managing external contractors for maintenance, cleaning, and repairs.
- Acting as the main point of contact for all telecoms and IT, including management of our external IT provider, ensuring smooth communications and adherence to SLAs.
- Monitoring and making all bookings for travel, accommodation, meeting room and venue requests across the agency.
- Managing and tracking essential office compliance, including arranging and overseeing PAT testing, fire safety checks, and first aid training.
- Monitoring and managing inventory for all office, kitchen, and stationery supplies, placing timely orders and ensuring cost-effective purchasing.
- Managing incoming and outgoing post, couriers, and deliveries for both offices.
- Ensuring a welcoming experience for all guests, managing meeting room bookings and light front of house duties when needed.
- Assisting with tracking expenses related to office supplies, maintenance, and facilities, ensuring adherence to budget guidelines.
What you’ll bring to the role:
- A full UK driving license with access to your own transportation.
- Demonstrated experience as an Office Assistant or similar role, with direct experience in managing facilities and operations across multiple locations.
- Exceptional organisational and time-keeping skills, with a proven ability to manage multiple responsibilities, contractors, and deadlines simultaneously.
- Experience managing compliance tasks such as PAT testing and coordinating other essential health and safety checks.
- A commercially minded approach to supplies ordering and facilities maintenance, ensuring value for money.
- Strong written and verbal communication, capable of building positive relationships with team members, contractors, and suppliers.
- A self-starter who is resourceful and takes ownership of problem-solving.
