About the Position Under the general supervision of the Supportive Services Manager, the Supportive Services Assistant Manager assists with the daily operations and oversight of the “Almost Home” Emergency Shelter Program. This role supports the supervision of Resident Services Assistant (RSA) and Crisis Support Specialist (CSS) staff, coordinates shelter operations, and helps ensure the delivery of high-quality, trauma-informed services to shelter residents and the community.
Essential Duties and Responsibilities
- Shelter Coordination and Operations
- Assist the Supportive Services Manager with supervision and support of Resident Services Assistant (RSA) staff.
- Coordinate and maintain monthly RSA staff schedules for shelter coverage.
- Oversee shelter inventory, assist with ordering supplies, and coordinate facility maintenance needs.
- Serve as departmental staff backup according to the established rotation schedule.
- Provide shelter orientation and comprehensive safety planning services to shelter residents as needed upon intake.
- Maintain accurate and timely documentation of client interactions, services, and calls through case notes and the VADATA and ECM systems in accordance with organizational protocols.
- Understand and follow all incident and accident reporting policies and procedures.
- Participate in ongoing training related to interpersonal violence, trauma-informed care, community resources, and relevant medical and support services.
- Attend staff meetings, in-service training, and professional development opportunities throughout the year.
- Perform additional duties as assigned.
- Provide oversight and support to Resident Services Assistants, Crisis Support Specialists, interns, and volunteers alongside the Supportive Services Manager.
- Offer coaching, mentoring, and on-the-job guidance to staff and volunteers while communicating training and development needs to the Supportive Services Manager.
- Collaborate with the YWCA SHR Volunteer and Outreach Coordinator to support onboarding and coordination of volunteers and volunteer groups.
- Conduct routine inspections of the shelter to ensure cleanliness, safety, and compliance with Occupational Safety and Health Administration (OSHA) standards and applicable local regulations.
- Support adherence to agency policies, procedures, and best practices related to shelter operations and resident care.
- Collaborate with the Supportive Services Manager to audit shelter records, including ECM documentation, to ensure compliance with agency policies and procedures.
- Assist with planning and facilitating RSA staff meetings and training.
- Support administrative functions related to shelter operations and resident services.

Minimum Requirements
- Education and Experience
- Bachelor’s degree in social work, criminal justice or related human services field preferred.
- Some supervisory experience or leadership management training are preferred.
- Two years of experience working with victims of violence and/or homeless persons required.
- Previous experience working in a shelter program preferred.
- Must possess strong organizational skills.
- Must have some experience providing supervision.
- Demonstrate the ability to communicate clearly and effectively both verbally and in writing.
- Knowledge of the dynamics of sexual assault and domestic violence.
- Experience working with persons with victims of crime, disabilities, mental health concerns, and chronic homelessness.
- Proficiency with Microsoft Office applications, including spreadsheets.
- Self-starter with the ability to work independently and as a part of a team.
- Effectively manage multiple priorities.
- Excellent organizational and interpersonal skills.
- Demonstrate the ability to maintain a calm and supportive demeanor at all times.
- Non-judgmental attitude, sensitive to confidential information.

- Must be able to operate company van during daytime and nighttime hours.
- Must have an excellent driving record and have a valid driver's license; certificate of insurance from an insurance carrier licensed in the State of Virginia.
- Travel is required and access to reliable transportation is essential.
- Maintain client confidentiality in accordance with the YWCA SHR’s Confidentiality policy.
- Provide LAP support and services to Norfolk Police Department and high lethality victims.
- Adhere to the YWCA SHR’s Mandated Reporter policy in collaboration with law enforcement, and forensic and medical personnel.
- Must be 18 years of age.
- Must complete the training programs of YWCA SHR.
- Must complete a successful background check.

WORKING CONDITIONS
This position is located at the YWCA SHR Emergency Shelter, a 24-hour facility with a high standard of confidentiality.
SUPERVISORY RESPONSIBILITIES
This position is responsible for the oversight of all shelter Resident Services Assistants, interns and volunteers when the Shelter Manager is not on duty. This includes general coaching, mentoring, and training as necessary while providing updates to Supportive Services Manager for training opportunities.

- The noise level in the work environment is moderately loud.
- Physical capability to effectively use and operate various items of office related equipment, such as but not limited to, a personal computer, calculator, copier and fax machine.
COMPENSATION: This position offers a salary between $40,000-$45,000 that is based on experience and includes a comprehensive benefits package. Scheduled hours to occur most weekdays between 9am-9pm with a minimum of two weekend days per month.
