Role Overview:

Yuvoice is seeking a dynamic and strategic Director of Events to lead the planning, coordination, and execution of our events, with a primary focus on the highly anticipated launch event for our groundbreaking product this year. This role will be pivotal in showcasing Yuvoice\’s mission and vision to a wide audience, building brand awareness, and creating memorable experiences that resonate with our community. The Director of Events will be a creative and results-oriented leader, adept at managing complex projects, fostering strong relationships, and delivering exceptional event experiences. A key aspect of this role will be securing and managing corporate sponsorships to enhance event impact and revenue.

Core Responsibilities:

Strategic Event Planning & Execution:

  • Develop and implement a comprehensive event strategy aligned with Yuvoice’s mission and business objectives, specifically focusing on the product launch event.
  • Lead the end-to-end planning and execution of events, including venue selection, vendor management, budget development, logistics, and post-event analysis.
  • Conceptualize and design engaging event experiences that reflect Yuvoice\’s brand identity and resonate with target audiences.
  • Develop and manage event budgets, ensuring cost-effectiveness and maximizing return on investment (ROI).
  • Create detailed event timelines and project plans, ensuring all deadlines are met.
  • Oversee on-site event management, ensuring seamless execution and a positive attendee experience.

Product Launch Event Focus:

  • Develop a comprehensive launch strategy that maximizes product visibility and generates excitement.
  • Coordinate all aspects of the product launch event, including presentations, demonstrations, networking opportunities, and media relations.
  • Work closely with the product and marketing teams to ensure a cohesive and impactful launch message.
  • Develop and manage a launch event marketing and communication plan.

Corporate Sponsorship Development & Management:

  • Develop and implement a comprehensive sponsorship strategy to secure financial and in-kind support for events.
  • Identify, cultivate, and solicit potential corporate sponsors, building strong relationships and understanding their business objectives.
  • Create compelling sponsorship proposals and packages that align with Yuvoice\’s brand and event goals.
  • Negotiate sponsorship agreements and ensure fulfillment of sponsor benefits.
  • Manage sponsor relationships throughout the event lifecycle, providing excellent customer service and ensuring sponsor satisfaction.
  • Create and deliver post-event sponsorship reports, demonstrating ROI and impact.
  • Identify, negotiate with, and manage relationships with event vendors, including venues, caterers, audio/video (AV) providers, and entertainment.
  • Collaborate with internal stakeholders, including marketing, product, and leadership teams, to ensure alignment and support for event initiatives.
  • Build and maintain strong relationships with key influencers, industry professionals, and community partners.

Marketing & Communication:

  • Work with the marketing team to develop and implement event marketing and communication plans, including social media, email marketing, and public relations.
  • Develop engaging event content, including presentations, promotional materials, and website content.

Leadership:

  • Build and lead an event team, providing guidance and mentorship.
  • Foster a collaborative and high-performing team environment.

Key Skills and Qualifications:

  • Bachelor\’s degree in event management, marketing, communications, or a related field.
  • Extensive experience in event planning and execution, with a proven track record of success.
  • Proven experience in securing and managing corporate sponsorships.
  • Exceptional project management and organizational skills.
  • Excellent communication, interpersonal, and negotiation skills.
  • Ability to work in a fast-paced environment and manage multiple projects simultaneously.
  • Passion for Yuvoice\’s mission and values.
  • Experience in budget creation and management.
  • Able to dedicate a minimum of 15 hours per week.
  • Able to dedicate 40+ hours for the ONE week of our product launch, if needed. (We have many London volunteers who will help too, including our CEO!)
  • Experience and/or knowledge of working in a startup environment.

Volunteer, but could be pay:

  • We cannot guarantee any pay, as this is an ALL-VOLUNTEER org, including our C-Suite. However, we look forward to your leadership in finding sponsorships and partners for these events β€” some of these funds you may choose to use to cover your own work and time, with organization approval.
