We are looking for a Quality & Compliance Advisor to be based at our Sustainable Distribution Centre (SDC), NN7 2FR. Reporting to the Quality & Compliance Lead, this role leads day-to-day investigations into all customer-related incidents and ensures the implementation of robust corrective and preventive action (CAPA) processes. The successful candidate will build customer confidence by consistently maintaining high standards of quality and compliance across the supply chain in line with SLAs, SLRs, GDP guidelines, and regulatory requirements, and will bring proven experience in Root Cause Analysis methodologies alongside a strong understanding of GDP guidelines.

This 12-month FTC role offers a starting salary of £30,000 per annum, based on a Monday to Friday working pattern, with 2 days per week in the office (subject to business requirements).

Key responsibilities:

  • Case Management
    • Accurately recording all complaints received from both internal and external stakeholders within the internal EQMS system, ensuring timely and complete documentation.
    • For assigned cases, lead and complete comprehensive investigations using appropriate root cause analysis methodologies and CAPA management techniques, working closely with relevant parties and collating all required documentation and evidential reporting.
    • Conduct thorough investigations to establish the root cause of complaints and recommend corrective action plans.
    • Monitor and ensure approved haulier compliance with Quality Technical Agreements and Work Instructions, escalating deviations as required through Carrier Management.
    • Promptly escalate potential serious non-conformances or complaints to the Senior Quality & Compliance Advisor, including instances where SLA performance may be compromised.
  • Self-Inspection
    • Conducting and supporting internal audits and self-inspections.
    • Record the audit in the QMS system and raise CAPAs following any actions raised in the audit.
    • Manage audit responses and track outstanding actions.
  • Customer Service
    • Maintain a high standard of professionalism in all verbal and written communications with both internal and external stakeholders.
    • Maintain clear and timely communication with customers by providing appropriate updates throughout the investigation process.
    • As required, present investigation outcomes at review meetings, discuss progress, and agree on appropriate action plans.
    • Escalate any potential customer service concerns to the Compliance Supervisor.
  • GDP and Quality Compliance
    • Ensure investigations are conducted in line with international regulatory requirements for healthcare and pharmaceutical logistics.
    • Support ongoing QMS maintenance by producing and reviewing documentation for all UK healthcare functions.
  • KPI Production and Trending / Data Analysis
    • Produce internal and external data analysis, reports, and presentations as requested, evidencing adherence to KPIs and SLAs.
    • As required, produce trend analysis on received cases to support insight and reporting.

Key skills and requirements:

  • Strong complaints management capability, with experience investigating issues and driving timely, compliant resolutions.
  • Takes a proactive approach to workload management, ensuring delivery against deadlines and agreed performance KPIs.
  • Solid understanding of Good Distribution Practice (GDP) guidelines would be beneficial.
  • Competence in applying Root Cause Analysis (RCA) methodologies (e.g. 5 Whys and Fishbone).
  • Robust attention to detail and documentation control.
  • Ability to support CAPA, audits, and regulatory compliance activities is desirable.
  • Good analytical skills.
  • IT literate in MS Office suite, i.e. Microsoft PowerPoint and Excel.
  • Effective stakeholder communication skills.
  • Good organisational skills, with the ability to plan, prioritise, and manage workload efficiently.
