Project Administrator (Import / Export)

Responsibilities
- Liaise with all internal teams, customs brokers and freight forwarders as necessary.
- Ensure all documents are received by the customs broker in a timely manner, including the issuing of clearance instructions.
- Maintain accurate records and ensure import and export documents are retained in accordance to HMRC record‑keeping requirements.
- Manage the process of end‑to‑end bulk export shipments on a daily, weekly and ad hoc basis.
- Ensure on‑site availability for twice‑weekly HUB shipments to Germany to conduct physical checks of shipments.
- Using SAP reporting, act as the gatekeeper of all dispatches that enter Logistics to ensure shipments are delivered on time to the end customer.
- Manage the RMA database and returns.
- Perform SAP data management when required, including origin of products, commodity codes, etc.
- Provide cover for Order Management Administrator (Mondays, Holidays & Sickness).
- Ensure that orders are executed on time and within cost targets.
- Maintain delivery promises to customers and manage Order Management email folder to address complaints promptly and appropriately.
- Create and maintain Sales Orders within SAP, arranging invoicing as appropriate.
- Coordinate with Production to minimise stock and with Credit Control in case of referred debt situations.
- Maintain close relationships with Operations and maintain a no‑blame culture through regular contact and meetings.
Qualifications & Experience
- Educated to at least GCSE level, including English and Maths.
- Considerable experience in commercial or business administration.
- Working knowledge of export/import business is essential.
- Proficient in Microsoft Office within a Windows environment.
- Strong SAP skills are essential.
- Willingness to learn and maintain current HMRC legislation and procedures.
- Ability to identify and take initial ownership of problems.
- Effective verbal and written communication at all organisational levels.
- Proactive in reviewing and proposing plans for improvement in the operation of the Project Administration Department and related processes.
- Commitment to continuous improvement and a LEAN approach to the function.
