Responsibilities:
- Liaise with all internal teams, customs brokers and freight forwarders as necessary.
- Ensure all documents are received by the customs broker in a timely manner, including the issuing of clearance instructions.
- Maintain accurate records and ensure import and export documents are retained in accordance to HMRC record keeping requirements.
- Manage the process of end-to-end bulk export shipments both on a daily, weekly and ad hoc basis.
- Ensure on-site availability for twice weekly HUB shipments to Germany to do physical checks of shipments.
- Using SAP reporting, be the gatekeeper of all despatches that enter Logistics to ensure shipments are delivered on time to end customer.
- Manage the RMA database and returns.
- SAP data management when required including origin of products, commodity codes etc.
- Provide cover for Order Management Administrator (Mondays, Holidays & Sickness).
- Ensure that orders are executed to time and to cost.
- Ensure that delivery promises to customers are achieved.
- Create and maintain Sales Orders within SAP arranging invoicing as appropriate.
- Input relevant information into SAP, work closely with Production to minimise stock, work closely with Credit Control in the event of a referred debt situation arising.
- Maintain close relationships with Operations and through regular contact ensure that a no blame culture is maintained. Attend meetings where required.
- Ensure that customer relationships and expectations are adequately maintained and where possible by managing Order Management email folder with any complaints being dealt with promptly and sensitively and escalated as appropriate.
Qualifications & Experience:
- Educated to GCSE level or equivalent including English and Maths.
- Considerable experience in Commercial/Business Administration; but a willingness to learn and adapt to the changing needs of the Business.
- A working knowledge of Export/Import Business is essential.
- IT Knowledge: A good knowledge of Microsoft Office within a Windows environment.
- SAP skills are essential.
- A willingness to learn and maintain all current HMRC legislation and procedures.
- Ability to identify and take initial ownership of problems.
- Ability to communicate effectively in writing and verbally at all levels both internally and externally.
- By constant review, propose plans for improvements in the operation of the Project Administration Department and other related processes.
- Adopt a continuous improvement / LEAN approach to the function.
