We are looking for a detail-oriented and multi-tasking Administration Officer. This role will be responsible for supporting the daily operations of our UK office, ensuring an efficient and standardized work environment, and providing administrative support for our multinational team.

Responsibilities:

  • Asset & Facility Management: Responsible for the procurement, inventory, distribution, and maintenance of office supplies, fixed assets, company vehicles, and corporate certificates; process relevant payment requests.
  • Workplace Environment Maintenance: Oversee daily office cleaning, facility repairs, and order management; act as the primary liaison with property management or landlords to coordinate leasing and renewal matters.
  • Office Relocation & Renovation: Coordinate matters related to office site selection, renovation projects, leasing, and contract renewals.
  • Business Travel & Hospitality: Arrange business travel, local reception, and accommodation for employees to ensure smooth transitions.
  • Employee Relations & Benefits: Plan and execute various company festive celebrations and employee care activities to enhance team cohesion; experience in administrative event implementation and a solid understanding of budget management for cost reduction and efficiency is required; conduct monthly audits of employee attendance records.
  • Communication & Billing Management: Manage company landline and mobile accounts, including bill inquiries, service renewals, and vendor management.
  • Cross-departmental Coordination: Respond to daily administrative needs from various departments, coordinate cross-departmental communication, and resolve administrative issues to ensure smooth company operations.
  • Other Tasks: Handle other matters assigned by leadership and manage any emergencies.

Requirements:

  • Experience: At least 1 year of experience in administration; previous administrative experience in the UK is highly preferred.
  • Work Authorization: Must have the legal right to work in the UK; the company does not provide visa sponsorship.
  • Language Proficiency: Fluent in both Chinese and English with excellent communication skills to work effectively in a cross-cultural environment.
  • General Skills: Proficient in office software (Microsoft 365), with strong multi-tasking abilities and a proactive attitude toward problem-solving.
  • Core Competencies: Rigorous work ethic, strong attention to detail, and a high level of service awareness.
