We are looking for a detail-oriented and multi-tasking Administration Officer. This role will be responsible for supporting the daily operations of our UK office, ensuring an efficient and standardized work environment, and providing administrative support for our multinational team.

Responsibilities:

  • Asset and Facility Management: Responsible for the procurement, inventory, and maintenance of office supplies, fixed assets, company vehicles, and documents; handle related payment requests.
  • Workplace Environment Maintenance: Oversee daily office cleaning, facility repairs, and order management; act as the primary liaison with property management or landlords to coordinate leasing and renewal matters.
  • Office Relocation and Renovation: Coordinate office location selection, renovation, leasing, and renewal matters.
  • Business Travel and Reception Support: Arrange travel and accommodation for employees, ensuring smooth travel experiences.
  • Employee Relations and Welfare: Plan and execute various holiday celebrations and employee care activities to enhance team cohesion; experience in implementing administrative activities and a solid understanding of budget management for cost reduction and efficiency is required; conduct monthly audits of employee attendance records.
  • Communication and Billing Management: Manage company communication accounts (landline, mobile), responsible for bill verification, expense renewals, and vendor management.
  • Cross-Department Coordination: Respond to administrative needs from various departments, coordinate cross-departmental communication, and resolve unexpected administrative issues in daily operations.
  • Other: Handle other tasks assigned by leadership and manage emergencies.

Work Authorization: Must have the legal right to work in the UK; the company does not provide visa sponsorship.

Language Proficiency: Fluent in both Chinese and English with excellent communication skills to work effectively in a cross-cultural environment.

General Skills: Proficient in office software (Microsoft 365), with strong multi-tasking abilities and a proactive attitude toward problem-solving.

Core Competencies: Rigorous work ethic, strong attention to detail, and a high level of service awareness.
