Role Purpose
To provide a professional, confidential and customer-focused HR administration service across NIFRS, supporting the Employee Services, Resourcing and wider People and Culture functions. The role ensures accurate and timely HR processes, records and information are maintained in line with legislation, organisational policies, GDPR and best practice.
Key Responsibilities
- Provide day-to-day administrative support across the HR function, managing correspondence, enquiries, inboxes,recordsand filing systems.
- Maintainaccurateemployee records, HRdatabasesand management information systems, ensuring data integrity and confidentiality.
- Support HR and Payroll processes, including monthly payroll checks, changes to terms and conditions, leave, sickness absence, maternity, paternity, shared parental leave,probationand leaver processes.
- Respond to annual leave, employeeservicesand general HR queries, providingappropriate guidanceor escalating matters whererequired.
- Support recruitment and resourcing activities, including agency worker arrangements, recruitmentassessmentsand employee notifications.
- ProduceaccurateHR reports, statistics and information for management,committeesand external requests.
- Ensure HR records and information are managedin accordance withGDPR, information governance and records retention requirements.
- Support the effective use,maintenanceand development of HR information systems,identifyingopportunities to improve processes and efficiency.
- Liaise effectively with Payroll, Establishment, IT, managers,employeesand external agencies to ensure HR processes are completed accurately and within deadlines.
- Provide professional customer service while handling sensitive and confidential employee information.
- Assist with HR meetings, events, audits,trainingand service improvement initiatives.
- Maintain up-to-date knowledge of relevant employment legislation, HR policies, terms and conditions and organisational procedures.
- Contribute flexibly to the widerobjectivesand performance of the People and Culture Directorate.
- At least five GCSEs (or equivalent) at Grades A*–C / 9–4, including English and Maths,andat least one year’s experience in a demanding office/business support environment; or two years’ relevant office experience.
- Proficiencyin Microsoft Office, including Word, Excel,PowerPointand Outlook.
- Experience providing effective customer service to internal and external stakeholders.
- Strong organisational, planning,prioritisationand attention-to-detail skills.
- Excellent written and verbal communication skills.
- Ability to manage competing priorities and meet multiple deadlines whilemaintainingaccuracy and confidentiality.
- Experience in an HR administration role, particularly within a large, multi-site or multi-disciplinary organisation.
- HR qualification or working towards one.
- Experience within local government or the public sector.
