The Role

We are currently recruiting for an experienced Medical Secretary to join a busy GP Practice on a temporary agency basis.

This is an excellent opportunity for an organised and professional administrator with previous healthcare experience to provide high-quality secretarial and administrative support to a multidisciplinary team.

The successful candidate will play a key role in ensuring referrals, correspondence and patient documentation are processed accurately and efficiently while maintaining the highest standards of confidentiality and patient care.

Key Responsibilities

  • Provide comprehensive secretarial and administrative support to GPs and the wider clinical team.
  • Type and prepare clinical letters, reports and other correspondence.
  • Process referrals using the NHS Electronic Referral Service (e RS).
  • Liaise with hospitals, community services and other external healthcare providers.
  • Maintain accurate referral and tracking databases.
  • Scan and upload patient documentation onto electronic patient records.
  • Input and update patient information accurately on clinical systems.
  • Process Subject Access Requests (SARs), insurance reports, solicitor requests and DVLA forms.
  • Handle patient requests for private medical letters and process associated invoices.
  • Answer telephone enquiries professionally and direct calls appropriately.
  • Respond to administrative queries from patients and healthcare professionals.
  • Carry out system searches and produce reports as requested.
  • Support clinicians with general administrative duties.
  • Assist reception and administration teams during periods of absence when required.
  • Prepare meeting agendas and take minutes when requested.
  • Maintain confidentiality and comply with GDPR, NHS Information Governance and Practice policies.

Essential Requirements

  • Previous experience working as a Medical Secretary, Healthcare Administrator or in a similar NHS or GP Practice role.
  • Experience providing administrative support within a healthcare environment.
  • Excellent written and verbal communication skills.
  • Strong audio typing and document production skills.
  • Excellent IT skills, including Microsoft Office and Outlook.
  • Professional telephone manner.
  • Excellent organisational skills with the ability to prioritise a busy workload.
  • Ability to work independently and as part of a multidisciplinary team.
  • High level of accuracy and attention to detail.
  • GCSEs (or equivalent), including English and Maths.

Skills & Experience

  • Previous GP Practice experience.
  • Knowledge of EMIS Web.
  • Experience using the Electronic Referral Service (ERS).
  • Experience processing SARs, insurance reports and DVLA documentation.
  • NVQ Level 2 in Health & Social Care or equivalent.
  • Knowledge of NHS administrative processes and patient record management.
