About the Role
Your Recruitment Coach is working with an established business that is looking to appoint a Sales & Purchasing Administrator to join its commercial team. This is a varied role working within a small, friendly team, providing administration support across sales, purchasing and general office functions. You will play an important role in ensuring customer orders move smoothly through the business, coordinating with different departments and suppliers to help ensure orders are processed accurately and delivered on time.
Key Responsibilities
- Sales Administration
- Process pro forma requests from the Sales team.
- Process customer purchase orders for standard equipment.
- Set up and maintain EQ folders for non-standard equipment.
- Prepare delivery notes and relevant order documentation.
- Send sales order acknowledgements to customers.
- Keep customers informed of revised delivery dates.
- Send EQ drawings to customers for approval and sign-off.
- Maintain and update standard product stock lists.
- Ensure customer orders are accurately processed and information is communicated effectively throughout the business.
- Purchasing Administration
- Raise and send purchase orders to the company's supplier base.
- Chase and process purchase order acknowledgements within 24 hours of orders being issued.
- Monitor and chase overdue purchase orders.
- Assist with loading Bills of Materials onto Sage.
- Maintain accurate purchasing records and ensure supplier information is kept up to date.
- General Administration
- Provide general administrative support across the business as required.
- Assist colleagues with day-to-day office and commercial administration.
- Support the smooth flow of information between customers, suppliers, sales and internal departments.
About You
We are looking for someone who is organised, reliable and commercially minded, with excellent attention to detail and a positive approach to their work. You will ideally have:
- A calm and professional telephone manner, even when working in a busy environment.
- Excellent organisational and administration skills.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Experience using Microsoft Office packages.
- Experience with Sage 200 would be advantageous.
- The ability to work independently and use your own initiative.
- The ability to work effectively as part of a small team.
- An interest in the commercial side of the business.
- A willingness to learn, develop and progress within the role.
