As our clients Receptionist, you will be the first point of contact for clients, visitors and professional contacts. You will manage incoming enquiries, coordinate meeting rooms and provide general administrative support while handling confidential information with discretion.
Key responsibilities:
- Welcome clients and visitors in a professional and courteous manner.
- Answer, screen and direct telephone calls promptly.
- Monitor shared inboxes and forward enquiries to the appropriate person.
- Schedule appointments and maintain meeting-room calendars.
- Prepare meeting rooms and arrange refreshments when required.
- Receive, sort and distribute post, deliveries and documents.
- Arrange outgoing post, couriers and document collections.
- Maintain a tidy, secure and professional reception area.
- Maintain a tidy refreshment area, ensuring levels of tea, coffee squash etc are at a suitable level.
- Record accurate messages and update client contact information.
- Assist with scanning, photocopying, file opening, filing and document preparation.
- Support fee earners and administrative colleagues as required.
- Place stationary orders.
- Follow the firms procedures for client confidentiality, data protection, health and safety, and office security.
- Complete identity-checking or new-client administration where trained and authorised to do so.
Essential skills and experience:
- Previous reception, customer service or office administration experience.
- Excellent spoken and written English.
- A confident and professional telephone manner.
- Strong organisational skills and attention to detail.
- The ability to prioritise tasks and remain calm in a busy environment.
- Good working knowledge of Microsoft Outlook, Word and general office systems.
- A discreet and trustworthy approach to confidential information.
- A reliable, punctual and collaborative attitude.
Desirable:
- Previous experience in a law firm or another professional-services environment.
- Experience using a legal practice-management or case-management system.
- Familiarity with client onboarding and identity-checking procedures.
