We are seeking a motivated and organised Typist / Administrative Assistant to join our busy team. This role is essential in supporting clinical and administrative services to ensure a high-quality service for patients.
Main duties of the job:
- Organise own workload and adjust priorities to meet deadlines, informing the Line Manager promptly if timescales cannot be met.
- Support other members of the secretarial team and provide cover during annual or sick leave when required.
- Open, prioritise, and distribute incoming post appropriately.
- File investigation results in patient records and highlight results to the relevant clinician.
- Maintain accurate patient records, tracking case notes sent to and received from wards, clinics, and other departments.
Job responsibilities:
- Organise and manage own workload effectively, adjusting priorities to meet service needs and agreed deadlines.
- Provide administrative and secretarial support to the wider team, including cross-cover during periods of annual leave or sickness to ensure continuity of service.
- Open, sort, prioritise, and distribute incoming post in a timely and confidential manner.
- Accurately file investigation results within patient health records and ensure all results are brought to the attention of the requesting clinician.
- Maintain patient records in line with Trust policies, ensuring records are kept up to date and accurately tracked when case notes are received from or sent to wards, clinics, other departments, or external hospitals.
- Ensure case notes are returned to the Medical Records Department as soon as possible to support efficient record management.
- Maintain confidentiality and comply with data protection, information governance, and Trust policies at all times.
Person Specification:
- Essential Education and Qualifications: NVQ 2 or equivalent
- Essential Skills and Abilities: Basic computer literacy (Word, Excel, PowerPoint), good organisational and administration skills, good customer care skills, effective communication skills.
- Desirable: Ability to prioritise a busy workload.
- Essential Experience: Previous experience of working in a busy office environment, previous experience in an administrative role.
- Desirable: Previous experience of working in a busy office environment in a healthcare setting.
- Essential Knowledge: Basic understanding of practical Data Protection issues, knowledge of child and adult protection issues.
- Essential Other: Able to work well within a team, able to work to tight deadlines and within available resources, flexible approach to work.
