Job Overview
The Billing Administrator plays a key role in supporting the financial operations of the clinic by ensuring accurate billing, payment processing, and reconciliation activities. This role requires strong attention to detail, organizational skills, and the ability to independently identify and resolve billing discrepancies.
The Billing Administrator works closely with internal teams, clinicians, patients, and third-party providers to ensure billing processes are completed accurately, efficiently, and in accordance with clinic policies and healthcare billing requirements.
Client Overview
Our client is a multidisciplinary mental health and assessment clinic specializing in ADHD, Autism, Learning Disabilities, and associated mental health concerns across the lifespan. Their team includes psychologists, physicians, therapists, coaches, and allied healthcare professionals working collaboratively to support patient care.
Schedule: Monday - Friday, 9:00 AM - 5:00 PM EST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Contact patients by phone and/or email to process and reconcile payments for counselling, assessment, and other clinical services.
- Generate and issue accurate invoices for patients, insurance providers, and third-party payers.
- Monitor outstanding balances and proactively follow up on overdue accounts.
- Respond to patient inquiries regarding invoices, payments, insurance claims, and billing processes in a professional and empathetic manner.
- Process physician billing submissions, including OHIP billing, and complete monthly reconciliation of claims.
- Perform accurate data entry and maintain billing-related documentation within the electronic medical record (EMR) system.
- Identify and investigate billing discrepancies, missing information, and reconciliation issues, escalating concerns when appropriate.
- Collaborate with the finance team to support month-end reconciliation and reporting activities.
- Maintain accurate records and ensure billing practices align with clinic policies, privacy requirements, and applicable healthcare regulations.
- Participate in team meetings, training sessions, and process improvement initiatives.
Requirements
- Prior experience in healthcare billing, medical administration, accounting support, or a similar administrative role preferred.
- MUST HAVE REMOTE WORK EXPERIENCE
- Experience with healthcare billing processes, insurance claims, and payment reconciliation preferred.
- Proficiency using electronic medical records (EMR) systems and administrative software.
- Excellent problem-solving skills and ability to identify discrepancies and determine appropriate next steps.
- Ability to communicate professionally with patients, clinicians, insurance providers, and internal teams.
- Experience supporting Canadian healthcare organizations is an asset.
