Role Purpose: Supporting the Product Development team in managing the day to day development process from sketch through to delivery encompassing all aspects of product development. The Product Development Admin Assistant will be responsible for ensuring the smooth running of the day to day of the Product Development & Production Department supporting on both administrative functions of the team are fulfilled as well as supporting the link to the Merchandising and Garment Tech Teams.
Key Responsibilities:
- Maintain and update product information across internal systems (PLM/product databases), ensuring accuracy, version control, and consistency.
- Coordinate the tracking, ordering, receipt, and distribution of samples to internal teams and suppliers.
- Raise and process Purchase Orders (POs), amend POs where required, and support invoice processing for samples, testing, temporary salaries, and circular services.
- Manage supplier onboarding, ensuring correct setup for systems, payment, and communications.
- Support internal teams (Product Development, Design, Merchandising, Garment Technology) with day-to-day administrative tasks, including meeting notes, sample organization, and returns.
- Coordinate and assist with shipments (DHL, press, photoshoots, and sampling pieces).
- Support merchandising in amending units, invoices, and shipping windows where required.
- Manage QR labels and generate PIDs via EON and Nilorn platforms.
- Assist with Jira ticket management for tracking and resolving administrative requests.
Essential Skills & Requirements:
- Previous experience in a product admin, fashion retail, or development support role is desirable.
- Strong organisational skills with exceptional attention to detail and accuracy.
- Ability to manage multiple tasks and priorities in a fast-paced, deadline-driven environment.
- Strong communication skills, both written and verbal, with the ability to build effective relationships across teams.
- Proficiency in Microsoft Excel and comfort managing large volumes of data.
- Experience with PLM or other product database systems preferred.
- Proactive, flexible, and solutions-oriented approach to support operational and administrative needs.
- Basic understanding of product development workflows, POs, invoices, and sample management.
