The Opportunity
XY Sense is a global leader in occupancy intelligence technology for corporate real estate teams. Our privacy-first, AI-powered sensors and workplace analytics platform deliver the richest, real-time insights to help organisations control real estate costs, boost space productivity, and create workplaces people love. With headquarters in Melbourne and offices in Sydney, London, and New York, XY Sense powers workplace intelligence for enterprise customers in more than 30 countries. Our fast-growing London team is leading EMEA expansion, working with a diverse portfolio of global clients and partners to deliver data-driven workplace insights and smart building solutions.
We’re now looking for an Installation & Implementation Manager to help deliver on this next phase of this growth. In this role you will lead the scoping, delivery, activation and ongoing optimisation of XY Sense installations across the UK and EU. This role sits at the intersection of customers, installers, partners, hardware, software and data. You’ll own implementation quality end-to-end — from pre-sales design and quoting through to activation, witness testing and post-go-live support — ensuring installations are delivered on time, on budget and to a high technical standard. This is a hands-on role in a fast-moving scale-up business, ideal for someone who thrives on complexity, autonomy and accountability.
If you are down for working with the biggest companies in the world, in a fast growth, ambitious environment and being an elite multi-tasker, this is your role:
What you’ll be responsible for
- Pre-Sales & Project Scoping
- Act as regional implementation lead supporting Sales with accurate project scoping and design
- Review floor plans, ceiling plans, lighting and services drawings
- Define installation scope, timelines and dependencies across multiple stakeholders
- Support creation of MEP designs, network configurations, cabling scopes and integration documentation
- Engage with architects, consultants, customers and partners to finalise designs
- Source and manage installer quotations and Statements of Work (SOWs)
- Installation Delivery
- Coordinate hardware ordering, logistics and international shipping in partnership with Supply Chain
- Manage installation schedules, installers and partners against agreed SOWs
- Attend project coordination meetings and resolve on-site or technical issues
- Track progress, risks, milestones and installer performance
- Ensure accurate and complete as-built documentation (device IDs, locations, cabling, connectivity)
- Activation & Sign-off
- Lead quality checks and activation sign-off
- Validate sensor placement, connectivity and early analytics
- Manage witness testing and final customer sign-off
- Reconcile installer costs, hardware deliveries and budgets
- Coordinate Day 2 changes, variations and expansion work
- Ongoing Site & Partner Management
- Support Account Management with ongoing site accuracy, integrations and expansions
- Coordinate diagnostics, repairs, RMAs and on-site support
- Act as regional technical SME for installers and customers
- Build, train and maintain a high-quality network of installation partners
- Maintain installation guides, SOPs and internal documentation
What we’re looking for
Essential
- 5+ years in a customer-facing, technology-focused project or implementation role
- Experience managing subcontractors (low-voltage, AV, IT or similar)
- Strong understanding of IoT / low-voltage installations
- Solid technical knowledge of networking (TCP/IP, RF, PoE, cabling standards)
- Strong project management and organisational skills
- Excellent written and verbal communication
- Comfortable operating in a fast-paced scale-up with competing priorities
- Willingness to travel across the UK/EU
Nice to have
- PMP certification
- AutoCAD experience or certification
- Enterprise AV / IT certifications (e.g. Avixa / InfoComm)
- Engineering or technology degree
- French, Spanish or German language skills
We don’t expect you to tick every box. If you bring strong implementation experience, technical curiosity and a willingness to learn, we’d love to hear from you.
