In this Administration Manager role, you will lead service delivery for an assigned XPS Administration client portfolio, ensuring quality, profitability and sustainability. You will oversee day-to-day client relationships with trustees and corporate clients, provide expert pensions advice, and drive projects and governance improvements. The role blends client-facing management with strategic input on business changes and performance. You will work with cross-functional teams to maintain high standards and support growth initiatives.

- Lead and oversee pensions administration services for the assigned client portfolio
- Manage client relationships with trustees and corporate clients and participate in meetings
- Provide expert pensions advice and keep abreast of legislative developments
- Manage projects such as renewals, benefit statements, pension increases, and trustees' reports
- Handle admin billing, time recording, and ensure timely invoicing and payments
- Disseminate service delivery objectives and present technical matters in team meetings
- Lead internal audits, implement process improvements, and maintain governance trackers
- Oversee total workflow management for the team, including workload allocation and SLAs
- Conduct staff management activities: appraisals, objectives, HR issues, recruitment
- Mentor and develop pensions administration staff and ensure policy adherence
- Foster cross-department collaboration to deliver total client service
- Support marketing and new business activities and client-facing opportunities
- Prepare and sign off client work and letters, ensuring accuracy and compliance
- Contribute to management meetings and implement recommended changes
- Ensure ongoing compliance with time recording and utilization targets
- Undertake additional activities as required by business changes
Tasks
- Expert knowledge of pensions administration and applicability to any scheme
- Experience with Defined Benefit schemes including leavers, retirements, deaths, transfers, monthly processing, and investments
- Strong knowledge of pensions legislation and changes to the framework
- Supervisory and management experience including performance monitoring, appraisals, recruitment
- Third party pensions administration experience preferred or strong in-house experience
- Presentational experience for client pitches and meetings
- Numerical aptitude supported by work experience or academic achievement
- Project management experience for pension administration projects
- IT proficiency in Microsoft Word, Excel, Outlook & PowerPoint
