As a comprehensive workplace manager, you will be responsible for establishing the administrative system for large-scale integrated workplaces, leading team management, and conducting in-depth alignment with corporate headquarters administration.

This role applies to large-scale integrated workplaces (headcount ≥ 50) or regional administrative lead positions. Incumbents are expected to undertake team management, budget decision-making and strategic planning responsibilities.

Key Responsibilities

  • Workplace Operation Strategy & Management
    • Formulate regional workplace operation strategies, drive continuous improvement of office environment and employee experience upgrade.
    • Build regional 5S management system and develop reusable management standards.
    • Plan annual activity calendar and oversee delivery of regional cultural events.
    • Establish reception service standards and coordinate cross-regional high-profile receptions.
    • Take overall charge of regional EHS compliance management and develop emergency response frameworks.
  • Expense & Budget Oversight
    • Lead preparation and review of regional administrative budgets, and take accountability for regional budget outcomes.
    • Approve regional expense disbursements, monitor compliance risks and identify cost-saving & efficiency-improvement opportunities.
    • Collaborate with headquarters to deliver regional cost optimization and maintain healthy overall expense performance.
    • Oversee payments to regional vendors, control payment schedules and leverage payment terms to optimize cash flow.
  • Asset Management Oversight
    • Establish regional asset management policy framework to guarantee consistency between asset records and physical inventory.
    • Approve major vehicle procurement and disposal proposals, and optimize allocation of regional vehicle resources.
    • Align with headquarters asset policies, and supervise regional asset inventory and disposal activities.
  • Vendor Management
    • Participate in headquarters-level vendor framework negotiations to optimize regional supply chain.
    • Manage relationships with key regional vendors and drive continuous service improvement.
    • Develop regional vendor tier-based management system to iteratively optimize supply-chain structure.
    • Review and approve proposals for regional vendor onboarding and offboarding.
  • Regional Workplace Construction & Standardization
    • Develop strategies for launching new country-level workplaces, align with headquarters resources to ensure standardized implementation.
    • Contribute to headquarters administrative standard formulation, and supervise regional training and compliance execution.
    • Facilitate experience sharing and methodology accumulation across regional workplaces.
  • Visa & Expat Assignment Support
    • Build regional support framework for expatriate employees, coordinate resources to guarantee smooth on-landing for assignees.
    • Collaborate with headquarters Administration and HR teams to continuously enhance regional expatriate support solutions.
  • Onboarding & Offboarding Administrative Support
    • Establish standardized SOPs for regional employee onboarding and offboarding administrative support to deliver seamless employee experience and efficient handover.
  • Digital-enabled Administrative Service
    • Lead promotion and operation of regional administrative service platforms to advance digitalization of local administrative services.
    • Consolidate regional system requirements and partner with headquarters Administration to iterate platform functionalities.
  • Communication & IT Infrastructure Support
    • Develop regional communication and IT infrastructure operation strategies to ensure stable connectivity of office networks and communication facilities.
    • Participate in formulation and optimization of regional IT support solutions.
  • Team Management
    • Directly manage administrative teams including Supervisors and Specialists, covering recruitment & selection, performance management and talent development.
    • Drive cross-department collaboration within the region, represent the administrative function in business decision-making and major project governance.
    • Maintain close alignment with headquarters Administration, and contribute to headquarters administrative decision-making and system building.
    • Set up regional administrative talent pipeline development mechanisms.

Education & Professional Experience

  • Bachelor’s degree or above, major in Administration Management, Business Administration, Human Resources or related disciplines is preferred.
  • 5-8 years or above working experience in administration, operation or relevant fields, with minimum 2 years of people-management experience.
  • Prior experience in multinational enterprises or cross-cultural management is a plus.
