XP Tavern is a dynamic, high-energy venue delivering standout hospitality experiences. We are looking for a commercially driven, highly organised Part-Time Sales Manager to drive reactive bookings, increase third-party platform performance, and proactively grow new business opportunities.
Role Overview
The Part-Time Sales Manager will be responsible for both reactive and proactive sales activity, ensuring all booking enquiries are managed efficiently and converted at the highest possible rate. This role requires strong responsiveness, excellent relationship-building skills, and a performance-driven mindset focused on revenue growth.
Key Responsibilities
- Third-Party Platform Management
- Ensure XP Tavern is fully optimised and consistently represented across platforms including: Tagvenue, VenueScanner, EasyTable.
- Maintain accurate listings (imagery, pricing, capacity, packages, descriptions).
- Regularly update seasonal packages, key dates, and promotional offers.
- Monitor ranking performance and competitor positioning.
- Improve visibility and lead generation through platform optimisation.
- Reactive Sales & Enquiry Management
- Manage all incoming booking enquiries across: Third-party platforms, Website forms, Instagram & TikTok DMs, Direct email and phone enquiries.
- Ensure all enquiries are responded to promptly (target: within 1 hour during working hours).
- Call all potential clients within 2 hours of receiving an enquiry to maximise conversion.
- Qualify leads effectively (budget, date, guest numbers, occasion type).
- Maintain accurate records of all enquiries and add them to the booking platform/CRM.
- Track conversion rates and identify areas for improvement.
- Follow up consistently on all warm and pending leads.
- Automated Response Optimisation
- Optimise automated responses across Instagram and TikTok DMs.
- Improve enquiry capture (encouraging users to provide event date, guest count, budget).
- Implement clear call to actions that drive quick booking decisions.
- Continuously refine messaging based on conversion performance.
- Proactive Sales & Business Growth
- Identify new opportunities to increase reactive bookings.
- Build relationships with local businesses, event planners, corporate bookers, birthday & celebration organisers.
- Develop outbound sales strategies for corporate bookings, Christmas parties, summer parties, brand activations.
- Create database re-engagement campaigns for past clients.
- Work closely with Marketing to align paid ads and content with high-converting packages.
- Data & Performance Management
- Maintain a clean and organised client database.
- Track KPIs including: Enquiry response time, Call response rate, Conversion rate, Revenue generated from reactive sales.
- Provide weekly sales reporting with actionable insights.
- Recommend pricing or packaging adjustments based on demand trends.
Focus Area: Growing Reactive Bookings
The Sales Manager will actively develop strategies to increase inbound enquiries and improve conversion, including:
- Optimising listing SEO on third-party platforms.
- Highlighting high-margin packages prominently.
- Encouraging reviews to improve platform ranking.
- Creating urgency-based offers (limited dates, seasonal packages).
- Implementing structured follow-up sequences (24hr, 72hr, 7-day).
- Retargeting warm leads through email and social DM follow-ups.
- Analysing drop-off points in the enquiry-to-booking journey.
