Role Summary

The PMO Analyst provides structured support across Xoserve's change portfolio, contributing to the effective delivery of PMO services and ensuring the consistent application of project, programme and portfolio governance.

The role supports a broad range of PMO activities, including governance and reporting, document management and security, project assurance, benefits management, RAID management, action tracking, procurement support, and financial monitoring. As Xoserve continues to expand its in-house delivery capability, the PMO Analyst plays a key role in embedding consistent PMO processes, frameworks, standards and service offerings across the organisation.

Working closely with internal stakeholders and third-party suppliers, the role ensures the provision of high-quality reporting, robust governance, and accurate management information to support effective decision-making, risk management and delivery oversight across the project, programme and portfolio landscape.

Responsibilities

PMO Governance & Support

  • Support the mobilisation of projects and programmes by completing core setup activities, including establishing document repositories, enabling shared tooling, coordinating stakeholder access, and agreeing ways of working with third-party suppliers.
  • Support PMO Leads in the delivery of PMO services across the change portfolio.
  • Ensure adherence to governance frameworks, standards, controls, and PMO best practices adopted within Xoserve.
  • Coordinate governance activities, including meeting support, action tracking, decision logging, and follow-up of agreed actions.
  • Support the development, maintenance, and adoption of standardised PMO processes, templates, and service catalogue offerings.
  • Undertake assurance activities and support stage gate reviews to monitor compliance with project and programme governance requirements.

Portfolio & Planning Support

  • Contribute to portfolio planning and prioritisation activities, including pipeline management, demand analysis, and delivery tracking.
  • Assist in validating contractual and delivery requirements with third-party providers.

RAID, Benefits & Financial Management

  • Maintain RAID management processes, ensuring risks, assumptions, issues and dependencies are accurately captured, tracked and reported.
  • Support benefits management activities, including the tracking, monitoring and reporting of benefits realisation.
  • Assist with resource and financial management activities, including budget monitoring, forecasting and capacity planning.

Reporting & Insight

  • Prepare and distribute regular reporting packs, including project status updates, performance metrics and progress reporting.
  • Ensure reporting outputs are accurate, consistent, timely and of a high quality.
  • Analyse project, programme and portfolio data to provide meaningful insights and support informed decision-making.
  • Contribute recommendations and actions based on data analysis and delivery trends.

Stakeholder & Engagement

  • Build and maintain effective working relationships with internal and external stakeholders to support successful change delivery.
  • Support clear and consistent communication to ensure alignment on PMO objectives, priorities and delivery activities.
  • Facilitate meetings, workshops and governance forums, ensuring actions, decisions and outcomes are effectively captured and communicated.
  • Support stakeholder and customer engagement activities associated with projects, programmes and portfolio delivery.

Continuous Improvement

  • Identify opportunities to improve PMO processes, reporting, governance and service delivery.
  • Contribute to the ongoing development and maturity of PMO capability, standards and ways of working across Xoserve.
  • Support the growth of in-house delivery capability and the continuous enhancement of PMO services and offerings.

Specialist/Technical Expertise

Essential

  • Proven experience in a PMO, project support or project coordination role.
  • Good understanding of PMO disciplines and best practices, including:
    • RAID management
    • Benefits tracking and management
    • Resource and financial management
    • Project governance and assurance
  • Experience producing reporting, metrics and management information, with the ability to analyse data and identify trends.
  • Strong organisational skills with the ability to manage multiple priorities and deliver to deadlines.
  • Excellent attention to detail and a proactive approach to work.
  • Effective communication and stakeholder engagement skills.
  • Collaborative team player who demonstrates strong professional behaviours.
  • Experience using project and portfolio management tools (e.g. MS Project, JIRA, Confluence).
  • Experience using reporting and visualisation tools (e.g. Power BI, Excel).

Desirable

  • Foundation-level project management certification (e.g. PRINCE2 Foundation, APM PFQ or equivalent).
  • PMO-related certification (e.g. PMO Essentials, Essentials for PMO Analysts or equivalent).
  • Experience working within regulated or complex delivery environments.
  • Exposure to portfolio-level reporting, planning and governance frameworks.
