Xoserve maintains accountability for the delivery of the Data Services Contract for the industry, which is delivered by a key outsourced service provider.

Role Summary

The People Coordinator provides efficient and professional support to the People Team with a strong focus on recruitment, agency liaison, candidate experience and onboarding. The role works closely with hiring managers, recruitment agencies and the wider People Team to ensure vacancies are advertised effectively, interviews are organised smoothly and new starters receive a consistent and high-quality onboarding experience. The role also supports day-to-day People Team administration, including raising purchase orders, preparing standard documentation and managing shared inboxes.

Responsibilities

  • Advertise vacancies across LinkedIn and other relevant platforms, ensuring role details and messaging are accurate and engaging.
  • Coordinate recruitment activity from role approval to offer stage, including interview scheduling, candidate communication and tracking progress.
  • Act as a liaison point for recruitment agencies, sharing briefs, progressing candidates and ensuring clear, timely communication.
  • Support hiring managers throughout the recruitment process, including interview organisation, documentation coordination and candidate queries.
  • Manage candidate correspondence including interview confirmations, briefing details, follow-up messages and feedback coordination.
  • Prepare and issue standard offer documentation and onboarding materials, ensuring all required pre-employment checks and tasks are completed.
  • Coordinate onboarding actions to ensure new starters have a smooth and positive experience ahead of and during their first days.
  • Assist with drafting standard employment documents and maintaining team templates.
  • Raise purchase orders in line with financial processes, ensuring accurate coding and timely processing.
  • Monitor and respond to shared People Team inboxes, ensuring queries are handled promptly or escalated appropriately.
  • Support the People Team with general administrative tasks and the coordination of small projects or process improvements.
  • Contribute to a high-quality candidate and employee experience through efficient, accurate and proactive coordination.

Specialist/Technical Expertise

Essential

  • Experience in a HR or Recruitment role, with strong administrative and organisational skills.
  • CIPD Level 3 (or above) qualified.
  • Proven ability to manage multiple tasks, deadlines and priorities.
  • Excellent communication skills, with confidence liaising with candidates, hiring managers and external partners.
  • High attention to detail and accuracy in documentation, scheduling and correspondence.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Proficient user of Microsoft Office (e.g., Outlook, Word, Excel).
  • Strong customer-service approach with a proactive and solution-focused mindset.

Desirable

  • Experience using an applicant tracking system or recruitment coordination tools.
  • Experience working with external recruitment agencies or supporting hiring managers.
  • Knowledge of recruitment processes, interview coordination or onboarding workflows.
