Role Summary

To provide administrative, co-ordination and communications support across Xoserve's Communications & Engagement team.

The role supports the planning, organisation and delivery of communications activity, helping to ensure communications are timely, well presented, accurately distributed and aligned to Xoserve's brand standards.

This is a varied role providing practical support across internal communications, external communications, digital content, stakeholder activity and team administration.

Responsibilities

Team Coordination

  • Coordinate and monitor the team inboxes, responding to routine enquiries and directing requests appropriately.
  • Maintain team planners, content calendars and communication schedules.
  • Support the organisation and administration of team meetings and activities.
  • Maintain communications content libraries and shared resources.

Communications Support

  • Support the preparation, distribution and publication of internal and external communications.
  • Proofread communications materials, presentations and publications.
  • Assist with formatting, branding and quality assurance of communications outputs.
  • Support the delivery of newsletters, updates and communication campaigns.

Digital & Content Support

  • Upload and maintain content across digital channels, including SharePoint, the Xoserve website and Business Plan Portal.
  • Support the coordination of LinkedIn content and other digital communications activity.
  • Assist with maintaining communication templates and branded assets.
  • Help coordinate the production of publications, presentations and visual communication materials.

Events & Engagement Support

  • Support the delivery of internal and external events, including invitations, registrations and logistics.
  • Assist with stakeholder and colleague communication activity where required.
  • Coordinate meeting arrangements and support materials.

Insight & Administration

  • Support monitoring of industry, stakeholder and media activity.
  • Assist with reporting, communications metrics and data collection.
  • Maintain photo, video and communications asset libraries.
  • Coordinate photography, videography and other communications supplier activity as required.

Specialist/Technical Expertise

Essential

  • Excellent written and verbal communication skills.
  • Strong proofreading skills with excellent attention to detail and accuracy.
  • Experience preparing and distributing professional communications.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines effectively.
  • Experience coordinating inboxes, calendars, meetings or events.
  • Proficiency in Microsoft 365, including Outlook, Teams, Word, PowerPoint and Excel.
  • A collaborative approach, with the ability to build positive working relationships across teams.
  • Proactive, reliable and able to work independently as well as part of a team.
  • Flexible and adaptable, with the ability to respond to changing priorities and business needs.
  • Committed to delivering high-quality work and providing excellent internal customer service.

Desirable

  • Previous experience in an administrative, communications, marketing or business support role.

This is a hybrid role based in our Solihull office, with a minimum of two days per week working onsite.
