Description
The Office Administrator is responsible for overseeing the day-to-day administrative tasks of the office. This position requires strong organizational, communication, and multitasking skills. The administrator will act as the first point of contact for office-related matters, coordinate office activities, manage office supplies, and provide administrative support to management and staff as needed.
Key Responsibilities
- Answering phone calls
- Meeting and greeting visitors
- Assisting in the onboarding process of new employees (setting up workstations, providing office orientation, etc.)
- Liaising with Xeinadin Anti-Money laundering department
- Diary management for the managing director which includes scheduling and coordinating meetings, appointments, and conference calls
- Assisting with proposal preparation for potential clients when required
- Maintain client’s information in line with Xeinadin guideline
- Ordering and managing office supplies and inventory
- Handling incoming and outgoing mail and email correspondence
- Scanning documents and filing digitally
- Assisting with basic bookkeeping tasks, such as processing invoices and receipts
- Banking cheques and delivery of post to the post office for registered delivery
- Generating weekly KPI and potential client list, opportunities and prospects
- Preparing and filing confirmation statements for clients
Key Requirements
- Proven experience as an office administrator in a fast-paced environment
- Very high level of attention to detail and accuracy
- Confident communicator with personnel at all levels within the business, both written and verbal
- Proficient with Microsoft Excel, Word, Outlook etc.
