Who Are We?

Xcelirate develops technologically-advanced platforms which are accessed by thousands of users every minute. We are proud to offer a workplace where the sharpest developers come together to strategically plan and swiftly execute practices which see us maintain our existing market dominance and attain global expansion. We owe our success to our customers who have seen us grow across a decade, and our talented team who have made that growth possible.

What are we looking for?

We are looking for a Business & Technical Documentation Analyst who will own and maintain the single source of truth for how the products we build and operate actually work. You will be responsible for a living, authoritative record of how the products behave, how the business uses them, and what really happens when someone presses a button or a workflow runs.

Most of what you’ll be documenting will not arrive cleanly packaged. It will exist as half-remembered decisions, scattered tickets, notes, edge-case behaviour in production, and code that drifted from its original intent. You’ll be the one who turns that into something coherent, current, and reliable.

You will be responsible for independently transforming tribal knowledge, work orders, outside requirements, and evolving implementations into clear, continuously updated documentation that reflects business features first and technical detail second. You will be responsible for ensuring that documentation captures both the business and user-facing perspective of every feature as well as the underlying system behaviour that supports it. Most importantly, you will ensure that when the documentation says a feature works a certain way, it will be because you verified it against reality - not because someone once said it did.

When required, you will also participate in the definition of new features and systems. This includes attending planning and requirements meetings, capturing decisions, and producing structured requirement and specification documents (for example IEEE SRS-style documents, and others) that form the initial source of truth for future documentation. You will design, implement, and maintain the company’s central documentation library from the ground up - including selecting the right tools, defining the structure, and establishing standards that allow documentation to scale across internal and external products and systems.

You will be responsible for proactively identifying knowledge gaps and independently retrieving the information required to keep documentation complete and accurate, rather than relying on teams to provide it to you.

You will operate independently across all teams, and will be available to work with both Engineering, Operations and external Product, ensuring that every feature, workflow, and system behaviour is clearly defined, traceable, and easy to understand, without relying on developer memory as the source of truth.

What will you be doing?

  • Design, implement, and manage the company’s central documentation library, including its structure, tooling, and standards
  • Create and maintain comprehensive documentation for all projects, in order of priority specified
  • Define and document all business features, workflows, and rules in a way that reflects how the system actually behaves, from user and business perspective
  • Proactively investigate existing systems, implementations, and workflows to understand how features truly function
  • Translate work orders, tickets, and engineering tasks into clear, structured, and continuously updated documentation
  • Reconcile differences between specifications, expectations, and real-world system behaviour
  • Ensure documentation stays accurate as features evolve, are refactored, or replaced
  • Act as the primary owner of product knowledge outside of development teams
  • Establish and enforce documentation standards, templates, taxonomies, and naming conventions in your own domain
  • Provide authoritative answers when questions arise about how products and features work

Requirements

What will you bring along?

  • 5+ years of experience in business analysis, product documentation, systems analysis, or knowledge management
  • Experience designing and managing documentation systems or knowledge bases
  • Background in software development, QA, product, or a similar technical role, with the ability to read code if required and understand technical terminology
  • Strong understanding of business workflows and software systems
  • Experience working with work orders, requirements, and agile delivery processes
  • Ability to translate technical implementation into clear business and user-level documentation
  • Excellent written and verbal English communication skills
  • High attention to detail and strong documentation discipline
  • Ability to independently investigate and validate how systems work
  • Comfortable working across multiple teams independently
